Job Description
CHANEL is looking for a Workplace Experience Manager to join our Operations Team in Piscataway, NJ. This corporate location is a mixed-use facility that supports the import and distribution of CHANEL’s Fragrance & Beauty, Watch & Fine Jewelry and Fashion products to the U.S. market along with the Research & Innovation labs, After Sales workshops, Finance and Technology office spaces. In this role, you will manage our growing office; leading all projects, initiatives, and programs that contribute to creating a work environment that employees can thrive in. You will need strong people management/coaching and program management skills, have the ability to think on your feet, make quick decisions, and delegate, but also be ready and willing to roll up your sleeves and get to work. This role will require exceptional communication skills, the ability to be resourceful, and the ability to work well and create constructive relationships with a diverse range of personalities.   • Manage/Supervise on-site subcontractors involved in activities like reception, mail, event planning, files and records, cleaning, office supply, cafeteria service, and office equipment.
  • Update and maintain site floorplan showing seat assignments, occupancy, group names. Provide monthly reporting on occupancy metrics.
  • Track Facilities related expenses. Reconcile vendor invoicing to ensure accuracy and resolve billing issues. Provide support to Accounts Payable and assist with invoice processing as needed.
  • Responsible for the coordination and execution of small facility projects that may include cubicle moves, tenant/building improvements, maintenance, repairs, etc.
  • Create and manage the process for determining specific needs of the space, including furniture needs, office and kitchen supplies, and pertinent repairs and maintenance, as well as office projects, tasks, and duties as needed
  • Support all site-specific projects and initiatives to improve the workplace through writing policies, procedures, and making physical improvements to the office
  • Build and strengthen relationships with site Leaders and internal stakeholders to continually improve our office operations
  • Establish relationships with vendors and have budget oversight into our programs while partnering with your manager to inform program decisions
  • Partner with Workplace managers and team members in our other corporate location to share best practices, align processes, and ensure employees receive a consistent experience
  • Use our service ticketing system for receiving and responding to service, repair & maintenance requests, determining the nature of the problem(s) and either completing the request or recommending appropriate solutions to employees promptly while maintaining the assigned SLAs
  • Prepare workstations for new hires
  • Assist with coordination and communication of emergency evacuation procedures and drill coordination
  • Partner closely with Operations Executive Assistant in planning and executing employee engagement events
  • Support in project initiation by following a standardized vendor identification and setup process by partnering with Procurement and Legal
  • Assist in the development of standardized project management process that can be utilized across the department as a project playbook
  • Support the Corporate COVID testing and PPE distribution program
  • Partner with Operations F&B and Fashion teams to support employee sales events
