Job Description

PetVets Animal Hospital is currently seeking a highly-motivated, dedicated, and caring front desk customer service representative to join our team. We are an AAHA-certified progressive and integrative small animal practice located in Oak Park, IL. Our practice’s primary goal is to provide patient-centered quality care while enhancing the pet-owner bond. This position requires always maintaining a warm, professional and helpful attitude, and the ability to maintain accuracy even in a fast-paced environment. Our ideal candidate is team-oriented with a strong work ethic and desire to practice in a family-friendly environment with emphasis on communication, service, collaboration and relationship building. Schedule flexibility and rotation is a necessity. (Day shifts typically run from 8am-4pm, afternoon shifts from 11am-7pm, with Saturdays from 9am-3pm)

The addition of tele-medicine appointments and new safety protocols makes it imperative that new members to our PetVets team excel in thorough and accurate communication and practices with clients and staff. As the first impression and experience that clients have with our practice, our desk staff sets the standard for all aspects of our services and team, and must be friendly and professional, efficient and effective, able to multi-task, and act as liaison between client and staff focusing on client satisfaction.

Position Duties & Requirements include but are not limited to:

  • Provide excellent customer service, be friendly & greet customers, accurately answer questions.
  • Answering and making calls to determine, schedule & confirm multiple types of appointments, discuss pet and client needs, process incoming patients, and handle payments.
  • Answer high-volume of calls on multi-line phone system.
  • Concisely communicate as liaison with clients, assistants, technicians, and doctors.
  • Handle incoming and outgoing mail and email.
  • Pro-active & multi-tasking a MUST!
  • Update and file patient charts; data preparation and entry.
  • Process credit card payments and prepare bank deposits.
  • Assist with pet pharmacy purchases such as prescriptions, pet food, and scheduling deliveries.
  • Maintain the cleanliness of the waiting room.
  • Exceptional organizational skills to keep work environment tidy and comfortable, as well as to perform assignments efficiently
  • BI-LINGUAL A PLUS!

Experience: A background in the veterinary or animal services field is preferred, prior quality customer service experience is a must, typing and data entry skills are necessary, must have the ability to quickly and competently answer busy multi-line telephone system, familiarity with veterinary terms and practice software (Cornerstone) can be taught but is helpful if already known.

Education: While a college degree is not necessary for this position, we do require a high school diploma or GED.

COVID-19 considerations:
Plastic barriers have been installed around the front desk area to ensure distancing & the safety of our front desk staff, we've begun tele-medicine visits, drive through services, supply PPE to all staff, & require all clients to call prior to entering.
