Job Summary

Serves as the central primary point of contact to provide highly skilled administrative support services and to coordinate the activities of the Center for Research and Scholarship (CRS). Responsible for daily office management, fiscal management, budget preparations, correspondence, personnel matters, exercising initiative and independent judgement and supervision of departmental graduate research assistants.



Essential Duties and Responsibilities

Provides assistance coordinating new or existing departmental projects or programs under the direction of the Associate Dean for Research (ADR) and Director of Sponsored Programs (DSP). Prepares reports as required for sponsored research projects and scholarly activities, which includes proposal submissions and active awards, research publications and presentations. Provides assistance with collecting Just-In-Time documents from research faculty for potential new awards. Assists in preparing CRS budget under the guidance of the ADR and DSP. Conducts cost studies and oversees preparation of various administrative issues. Processes purchases (via Pcard), paying subcontractor invoices, APS forms, reimbursements, reconciliations, vendor setup, payment vouchers, requisitions, purchase orders, and making travel arrangements related to the CRS and sponsored projects. Provides administrative assistance related to research, special events and meeting arrangements. Provides supervision oversight to graduate research assistants, including assigning research requests received from faculty and poster printing/design. Composes complex correspondence, memorandums, fliers and presentations. Processes documentation and paperwork for classified employee positions by posting, screening applications and providing assistance in hiring candidates. Process criminal background checks and assist with new employee orientation/on-boarding procedures. Maintains personnel records including staff recruitment forms, appointments, change of status, special leave requests, terminations, attendance records and performance evaluations. Supports CRS leadership staff of a wide variety of internal administrative duties and a large volume of decision, which require a thorough understanding of the functions, programs and policies of the University. Interprets administrative decisions and policies. Primary administrative support for assisting CRS staff and graduate research assistants. Assists with recruitment initiatives to obtain new research faculty for the CONHI. Serves as administrative liaison with other UT Arlington departments and outside organizations and agencies concerning administrative policies, sponsored projects, policies and procedures. Serves as central administrative point of contact for CRS. Serves as a resource to faculty/staff regarding research services provided by the CRS, coordinating all meetings/seminars, and travel. Performs other duties assigned by the CRS leadership staff.



Required Qualifications

High School diploma. Three (3) years of secretarial experience or the equivalent experience.



Preferred Qualifications

Associate’s degree. One (1) year of experience in administration or business management. Two (2) years of experience at an administrative assistant level or the equivalent experience.

Requires knowledge of personal computer and other standard office equipment. Highly organized, effective communication skills. Three (3) years of experience with MS Office products. Excellent customer service skills.
