Job Description

This position provides administrative support for the MS in Occupational Therapy and MS Nutrition programs. .It is critical to the success of these revenue generating programs that there be adequate staff to support the students and faculty in the program.

Position Duties
  • Assists in program’s accreditation preparation such as distributing survey, collecting, reviewing and entering data, as well as developing documents for Self Study.
  • Schedules appointments and meetings; prepares meeting agendas and takes minutes.
  • Provides support for faculty including travel and lodging arrangements; processes bills or expenses, purchasing and payment requests, equipment repairs and classroom needs
  • Provides support for event planning , production and marketing recruitment activities such as open houses, student orientation, pre-commencement recognition and award ceremonies, graduation, research presentations, and special events.
  • Assists with exam administration preparation, proctor scheduling and oversight, tracking and securely maintaining copies of exams.
  • Assists in completing and updating Course Forms.
  • Serves as a liaison between the Programs, and the University Offices such as Office of Graduate Admission, Enrollment Management, OSA, Financial Aid Office, Libraries, etc.
  • Maintains accurate and complete files on programs and students, including purging of out dated files.
  • Timely communicates to students and faculty/staff of any operational changes such as classes postponed, cancelled, changed, instructor absences, etc.
  • Advises students on how to navigate university academic and student support systems.
  • Acts as liaison for Student Associations, and other special student programs, among faculty/staff, and university offices and students.
  • Provides information to prospective students on OT or Nutrition academic programs, admission requirements, policies and procedures; Timely responds to telephone, e-mail and other inquiries requesting information on the programs and professions.
  • Arranges for admissions interviews, maintains interview records and computes interview and admission data and generates enrollment reports.
  • Assists with data collection, data entry and maintenance of affiliation agreements for supervised practice sites.
  • Coordinates and assists administration of a variety of recurring activities and non-recurring projects; Assumes additional or new responsibilities/duties as requested.
  • Performs other such duties as may be assigned from time to time.

Position Qualifications
  • Minimum of an associate degree; bachelor’s degree strongly preferred.
  • Minimum of 3 years of experience as an administrative assistant, preferably in an institution of higher learning.
  • Effective professional interpersonal skills including excellent verbal and written communication skills.
  • Excellent organization and time management skills and meticulous attention to detail.
  • Can set priorities and meet expected deadlines.
  • Discretion required in terms of privacy of student educational records and clinical clearance information.
  • Proficient in computer applications, specifically, Microsoft Office Suite including Microsoft Word, Excel, Access, Publisher, PowerPoint, and Outlook. Experience with Blackboard and Banner is a plus.
  • Ability to function independently and initiate projects when necessary.
  • Ability of function efficiently in highly demanding environment.

Work HoursM-F, 9-5 some weekend days or evenings as required for student events
