Job Summary:

As a full-time member of the Marketing/Communications Team, this candidate will be experienced in public AEC proposals, responsible for managing multiple proposals. The successful candidate is an excellent communicator, proactive problem solver, and adapts to a rapidly changing environment. TxDOT proposal experience is preferred but not required.

Essential Job Duties/Responsibilities:

Proposal Responsibilities

  • Routinely leads and manages proposal pursuit efforts, partnering with other members of the Marketing Team as needed to complete tasks successfully:
  • Reviews and interprets RFPs, addressing key elements with the pursuit team.
  • Facilitates with theme development and utilizes a theme-based approach for the development of proposal and presentation efforts.
  • Develops and drives the proposal management schedule, establishes priorities, documents and tracks team task assignments and keeps team accountable to internal and external deadlines.
  • Initiates and leads pursuit proposal team activities and meetings.
  • Develops kick-off and other meeting agendas.
  • Develops, manages, researches, and responds to data requests.
  • Facilitates quality reviews.
  • Drives and ensures RFP compliance/requirements.
  • Ensures timely proposal production and delivery.
  • Holds team accountable to schedules, conferring with Marketing leadership when challenges arise.
  • Coordinates with other members of the Marketing Team for assistance in advanced assignments.
  • Maintains a working knowledge of the company, the individual service groups, staff capabilities, regular subconsultants, client and competitor details to assist the Technical Pursuit Team in creating the most strategically positioned and technically competent team to win the work.
  • Writes new text and/or tailors existing materials, including interviewing staff/technical experts, incorporating win strategies into text, meeting RFP requirements, and providing the most competitive RFP responses.
  • Regularly performs quality reviews on final or near-final documents.
  • Performs quality control reviews of other marketing staff’s responses to RFPs and RFQs as requested.
  • Develops, writes, edits, and proofreads copy for proposals, presentations, resumes, project descriptions, and related marketing materials of a complex nature.
  • Updates marketing materials, including resumes, project descriptions, and qualification packages.
  • Coordinates, assembles and prepares all documentation using the Branding & Style Guidelines.
  • Provides regular status reports as it relates to proposal pursuit metrics and outcomes.

Proposal Interview Responsibilities

  • May be asked to lead efforts to successfully respond to short-list interviews (prepare PowerPoint presentations and produce hand-outs, coach project team on successful interviewing and Q&A techniques).
  • Participate in pre-interview planning and presentation rehearsal with design teams and help develop and apply the established win strategy, themes, and discriminators in presentation materials.
  • Assists the pursuit team through the presentation development and interview preparation process. Develops or offers suggestions for persuasive, strategic, and compelling messaging, converting text to images/diagrams that will resonate with the viewers. Prepares presentation, teaming with the Graphics Team as needed.
  • Supports overall company and regional marketing efforts, as needed.

Job Qualifications

  • Bachelor’s degree in Marketing, Journalism, Communications, or related fields.
  • 4-7 years prior work experience in public proposal management and marketing, preferably in the engineering or construction industry.
  • Uses deductive reasoning and problem-solving skills to address challenges.
  • Self-motivated and handles day-to-day tasks and schedules.
  • Excellent oral and written communication skills.
  • Knowledge in MS Office, Adobe InDesign, Adobe Acrobat Pro, or other graphics programs.
  • Strong proofreading, formatting, writing, and editing skills.
  • Command of grammar and spelling.
  • Ability to produce high-quality deliverable under pressure.
  • Ability to organize and coordinate project schedules and manage multiple deadlines and assignments.
