Job Description
The Services Operations/Contract Coordinator will support our Professional Services Operations in project administration and manage the drafting and revision of our company’s contracts. This individual will analyze and interpret a wide range of documentation, negotiate contract terms and conditions between various parties and maintain files for contracts containing pertinent information. This person will also support our Services Operations with several project reporting and administration responsibilities across all areas of project delivery. This role requires meticulous attention to details to ensure timely and accurate data collection, and to adhere to established processes.
Responsibilities:
Contract Administration:

  • Provide support throughout the entire contract lifecycle, from pre-proposal development through contract award to closeout to develop, review, redline, and negotiate contracts, subcontracts, and modifications, consistent with company policies.
  • Support responses to proposals to include identifying contractual risk and preparing response content to mitigate those risks.
  • Manage relationship with customers to resolve proposal or contract questions and discuss contract modifications.
  • Ensure the timely reporting of contract data entry into various systems, monitor data updates, resolve discrepancies related to contract documents, and ensure data quality and accuracy.
  • Ensure relevant documentation accompanies contracts and maintaining digital and hard copies of relevant documentation.
  • Create standardized language and guidelines for contracts and review contracts for compliance with established standards.
  • Collaborate and build working relationships with other teams to address complex contracts administration and proposal challenges, as well as with external legal teams.

Services Ops:

  • Collect project-wide data and ensure data quality and integrity, including, but not limited to, the following activities:
  • Accurate project setup in internal systems and distribution of information to project teams
  • Verification of timesheets and activity logs for consultants on projects.
  • Accounting of all project financials, including creation and reconciliation of client invoices.
  • Coordination of resource onboarding and enablement.
  • Reconciliation of third-party time tracking systems
  • Adherence to project governance, processes and procedures, and enforcement amongst cross-functional teams.
  • Identify issues within existing systems, tools, processes, data sources, and dashboards, and participate in opportunities to improve accuracy, decrease latency, and reduce inefficiencies.
  • Support changes to policies through documentation of and adherence to new and existing processes and procedures.

  • 5+ years of work experience of related experience within a Professional Services organization.
  • Strong knowledge of and exposure to operational business processes, with a strong preference for knowledge of Services/Professional Services/Consulting operations.
  • Proficient knowledge of legal requirements pertaining to relevant contracts.
  • Demonstrated experience in managing multiple contract types.
  • Strong analytical skills with the ability to detect patterns and analyze disparate data.
  • Experience working in a fast-paced operational role, with the ability to anticipate and manage shifts in priorities and to remain focused on delivering results that meet evolving business needs.
  • Exceptional interpersonal skills and ability to collaborate to solve issues and resolve conflicts.
  • Excellent organizational skills, with extreme attention to details and ability to perform highly-repetitive tasks accurately and efficiently.
  • Advanced skills in Microsoft Excel (or similar) with an ability to parse and manipulate data for summarized views and executive-level reporting.
  • Fundamental knowledge and understanding of Salesforce CRM highly preferred.
