Overview:Scheduling Coordinator - Orthodontic Treatment Program
The Scheduling Coordinator is responsible for managing the entire patient scheduling activities of the section. This involves coordinating the precertification, preauthorization, preregistration and patient reminder activity in conjunction with the scheduling.

  • Schedules
    • Creates templates for schedules keeping in mind call schedules, monthly service schedule and vacation schedules as directed by section chief.
    • Understands different activity types and resources, i.e. procedure, new outpatient appointment, follow-up, Dublin, intra-hospital testing, etc.
    • Schedules patients as directed by physicians and nurse practitioners
    • Notifies section chief of conflicts with schedule
    • Reschedules patients when clinic is cancelled
    • Prints daily appointment schedule in advance for central registration
    • Prints schedule a week in advance and gives to appropriate party for charts to be pulled
    • Maintains statistics regarding unfilled schedules and no show rates
  • Pre-registration
    • Contacts or coordinates calls to all patients a week in advance to collect registration information
    • At the time of contact for pre-registration confirms that the patient will keep the scheduled time
  • Pre-certification
    • Reviews /coordinates list of pre-registered patients and follow-up patients to determine those individuals requiring pre-certification for clinic visit
    • Ensures that pre-certification process is completed on or prior to the visit
    • As necessary works with referring physician office
    • Ensures that ancillary pre-certification is completed when required.
  • Patient Reminders
    • Responsible for patient reminders, as appropriate, a week in advance of appointment in conjunction with pre-registration calls.
Qualifications: KNOWLEDGE , SKILLS AND ABILITIES REQUIRED
Education:
  • High school graduate.
Experience:
  • Keyboarding/typing/data entry skills; and computerized scheduling experience preferred.
  • Excellent interpersonal, verbal and written communication skills, bilingual a plus.
  • Excellent organization skills and the ability to comprehend and follow written and verbal instructions.
  • Must be able to multi-task and handle various priorities in a flexible, rapidly changing environment.
  • Ability to function as a team member responsible for staffing operational hours.
