Performs various general resource support or responsible accounting- related activities. Work includes basic accounting/bookkeeping, budget support, purchasing, data entry in support of accounts payable, travel expenses, basic contract review and preparation and processing and other related activities. Work is generally performed in or in support of the district or division's primary administrative unit. Work requires contact with governmental agencies. Employees at this level follow standard practices that do not require frequent supervision of details.

Duties

The essential duties for this job include:

  • Answers inquiries from vendors, contractors or other out-of-agency personnel regarding departmental financial transactions.
  • Codes, enters and processes data into the Financial Information Management System (FIMS) or other automated accounting systems; accesses interconnected state computer accounting systems to track status of financial payments documents.
  • Communicates with Department staff to clarify information and/or to resolve discrepancies in required documentation.
  • Investigates and reconciles complex accounting discrepancies.
  • Oversees a variety of division or district-specific support functions.
  • Performs special projects related to accounting, bookkeeping, budget, purchasing, contract -support activities.
  • Performs administrative related duties, activities and other special assignments as required.
  • Prepares written correspondence, reports; maintains files, logs, activity books, tables, coding manuals or automated databases associated with accounting processes and activities.
  • Processes or audits various departmental vouchers, invoices or deposits for purchases or contracted services; prepares vouchers authorizing payments and processes for distribution.
  • Performs other job responsibilities as assigned.
Physical Requirements
  • Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
  • Light work: Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
  • Standing-prolonged periods of time
  • Repetitive Motion-substantial movements of the wrists, hands, and/or finger
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading

This job requires the following:

This job requires the following:

  • 2 years in Accounting, bookkeeping, payroll, contract processing and related activities (Experience can be satisfied by full-time or prorated part-time equivalent)

Supervisory Experience

  • No supervisory experience required.

Substitution

  • Relevant experience may be substituted for education on a year per year basis.
Licenses and Certifications

The following Licenses and/or Certifications are required for this job:

  • Valid Driver’s License Upon Hire
  • Preferred - Certified Texas Contract Manager “CTCM” certification. (Can be obtained within 6 months of hire)
