Position Summary Position specializes in program and project management and assists the Program Director in the overall operational and strategic management of the Center. Duties entail operational and program support of a multi-project grant and coordinating, facilitating interactions among the various faculty, staff, and services, and developing and sponsoring educational programs and community outreach resources. Works closely with the division’s office of research administration to provide financial oversight for the Center.

Job Description

Primary Duties and Responsibilities

  • Position assists the Program Director with the direction and coordination of daily activities for grants, contracts, funding, and proposal submissions for the Center and assists the directors with administering the grant and other related functions.
  • Assures adherence to grant, IRB, and Washington University guidelines for the Cores and Projects within the Center.
  • Advises Associate Directors and Core Directors on operational concerns and serves as the communications liaison among the various projects and cores.
  • Composes annual solicitation of pilot proposals and project reviews and coordinates the review, scoring, acceptance and notification process for all applications.
  • Drafts Center newsletter for website from materials provided by core directors and members.
  • Provides projections/recommendations for future resource allocations to the scientific directors.
  • Prepares and maintains minutes from Executive Board meetings, formal voting procedures, and committee activity related to proposals, ensuring follow up and implementation of decisions and policies.
  • Plans and coordinates meetings, educational seminars and conferences, and presentations for visiting speakers; coordinates travel arrangements and schedules for visiting speakers for the Center sponsored events.
  • Establishes/enhances contacts with other centers to facilitate collaboration and exchange of information and horizontal integration between the WU Center and related programs in WU. Maintains contact with the Program Officer at the NIH/NIDDK to ensure that the Center is adhering to policies and achieving the mission of the Program.
  • Establishes contacts with investigators at other institutions in our geographic area and facilitates their utilization of Center resources.
  • Establishes and maintains contacts with community groups that support the diabetes research and education mission.
  • Assists the Program Director with the integration and communication among other “center grants” at WU, i.e. CNRU, Digestive Diseases, and Cancer Center.
  • Working closely with the Program Director and Associate Director(s) is responsible for all aspects of the development, formulation, and submission of all progress reports and competitive renewals of the Center: includes review of submission requirements; assembly, formatting, and photocopying of grant; typing of biographical sketches; compilation of publications; drafting of key documents; development and typing of the bibliography, and all other items as required. This involves (1) obtaining the format for grant submission from the NIH and following the guidelines for the required preparation of tables documenting use and progress; (2) obtaining Progress Reports from each Core and from Pilot and Feasibility grant awardees, including tabulation of users and resulting publications; and (3) compiling and submitting the reports/renewals in the required NIH format.
  • Composes informational content for updating Center website.
  • Assists the Program Director with public relations and fund raising efforts. Prepares and submits materials for educational grants.
  • Participates in project review meetings and prepares reports and analyses.


Preferred Qualifications

  • Experience in program management or managing and coordinating very large projects.
  • Experience with financial planning and exposure to software development or information technology management.
  • Strong analytical and organizational skills.
  • Flexibility to meet multiple priorities/deadlines.
  • Demonstrated ability and expertise in handling varied aspects of strategic planning, program management, and educational activities.
  • Strong critical thinking and problem solving skills.
  • Attentiveness to detail and strong computer skills.

  • Excellent verbal, written and interpersonal skills.

Required Qualifications

  • Equivalent of a bachelor’s degree.
  • Five years of management experience (academic setting preferred).
  • Demonstrated ability and expertise in handling varied aspects of grant administration and management.

Grade G11

Salary Range $50,500.00 - $86,200.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
