ROLE OVERVIEW

LifeStance Health is currently searching for a professional, compassionate, and knowledgeable individual to fill the position of Office Manager. The Office Manager will be responsible for the overall operations, development and success of our psychiatric practice. In this important role, the successful applicant will act as an information resource and ambassador to patients, the general public, Physicians and staff. If you have experience in a management role at a medium-sized psychiatric practice, we encourage you to apply for this position.
This position will have oversight of our regional practices in Seattle and Tacoma.
RESPONSIBILITIES

  • Coordinate and oversee administrative duties in the office, ensure that the office operates efficiently and smoothly.
o Check-in/Check-out of patients. o Works with scheduling patients on a daily basis. o Answer phones. o Provide general support to patients. o Analyze and monitor internal processes.
  • Supervise, mentor, train, and coach office staff and delegate assignments, as necessary.
o Evaluate and manage staff performance o Interview and hire new staff o Training new staff members o Monitor and approve time cards and track licensure requirements for staff
  • Manage and maintain office equipment, office supply needs, and other inventory needs.
  • Conduct regular staff meetings and annual performance evaluations for the administrative team.
  • Responsible for developing and implementing office policies by setting up procedures and guidelines.
  • Prepare operational reports and schedules including review of accounts receivable reports on a monthly basis and managing daily staffing to ensure optimal operation.
SKILLS & EXPERIENCE

  • 3+ years’ experience in medical office management
  • Working knowledge of medical terminology
  • Medical office billing experience is an asset
  • Proficiency with EMR systems and software applications, including Microsoft Office Suite
  • Must have exceptional attention to detail
  • Excellent communication and organizational skills
  • Ability to collaborate in a team environment
  • Qualified candidates must be legally authorized to be employed in the United States
