Job Description

As we continue to grow the company, we are looking for a professional, friendly, bilingual front desk receptionist who will do much more than just answer phones. You will be the first point of contact for our clients, vendors, subcontractors and team. In this role, your days will fly by as you will have a variety of duties and interact with all of our departments on different projects.

Job Duties:

  • Maintains employee confidence and protects operations by keeping human resources information confidential.
  • Maintains quality service by following company standards.
  • Assist with day to day operations of the HR functions and duties.
  • Assist with gathering and processing subcontract workers’ time.
  • Provide clerical and administrative support to Human Resources and other departments.
  • Answer incoming calls and routes them to the appropriate person in the office, voice mail, or the proper jobsite.
  • Greets clients, employees and subcontractors/suppliers as they come into the office
  • Assist with onboarding for new hires - process I-9 forms, e-Verify, new hire paperwork internal drug testing.
  • Assist payroll with entering new hires into payroll database, scan and file documents electronically.
  • Assist with benefit communication, enrollments, and notices.
  • Responsible for coordinating company related functions like employees’ birthdays, potlucks and holiday celebrations.
  • Assist with billing reconciliation when needed.
  • Picks up, open, sort, stamp, and distribute incoming US Postal and interoffice mail
  • Send and receive faxes as needed.
  • May type memos, letters, transmittals, and listings as backup and may organize / alphabetize filing.
  • Manages office supplies orders.
  • Provide assistance to various departments administrative needs when needed
  • Performs other duties as assigned.

Job Requirements

  • Bilingual – Spanish
  • High school diploma, GED or equivalent
  • Prior experience supporting human resources is preferred
  • Minimum of 2 years office assistant experience
  • Experience with I-9 and E-Verify
  • Friendly and outgoing personality
  • “Can-do” attitude that understands in this role it is a variety of duties and this individual helps out in all departments as needed
  • Proficient in Microsoft Excel and Microsoft Word
  • Master organizer and attention to detail
  • Detail oriented with customer focus attitude
  • Effective verbal and written communication skills
  • Basic math skills and be able to perform simple calculations
  • Typing alpha-numeric data accurately and timely
  • Ability to handle competing priorities
  • Demonstrates the ability to work independently
  • Background Check Required

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at a time
