Overview: The Property Finance Administrator reports to the Property Manager, Sr. Property Manager or Portfolio Manager and executes on all administrative, accounting, and operational reporting functions for the assigned portfolio. The individual in this position will support the property management team in all areas of tenant relations, building record keeping, including work orders, payroll, invoice and purchase order processing. Responsibilities: Assist the property management team and other operations functions in the preparation of weekly payroll, monthly operational reports, tenant request/work order processing and ad-hoc reports as requested by manager.

  • Assist the property manager with budgets and coordinate the purchase order and accounts payable processing, including creation, coding and electronic filing of all building records.
  • Ability to answer phones, respond to tenant requests and coordinate with Property Management, Building Staff and other Operational Teams to resolve the issues. Properly log, track and report requests in the building CMMS or Work Order System.
  • Monitor vendor performance to ensure compliance and standards established in the service agreement are being met.
  • Assist and support the building staff with scheduling, requesting and facilitating maintenance with vendors and tenants.
  • Maintain and support the compliance of property safety standards and federal, state and local building codes and track accordingly in CMMS or building files.
  • Document and track all certificates of insurance from vendors and tenants.
  • Maintain accurate and pertinent information for vendors and tenants.
Qualifications:
  • Bachelor’s Degree, preferably in business administration, real estate, accounting, or related field.
  • Candidate will possess a minimum of 2+ years related experience.
  • LEED AP, IREM CPM and BOMA RPA certifications are strongly recommended.
  • Strong understanding of financial terms and principals and possesses the ability to analyze and conduct complex financial and business decisions.
  • Proficient in Yardi, Avid Exchange, Microsoft Word and Excel, SAP
  • Ability to express ideas clearly in written and verbal communications, with the capability to create complex financial and business-related documents.
  • Strong organizational skills and detail oriented.
  • Proven record of providing excellent internal and external customer service.
