Job Description
The mission of The University of Texas M. D. Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees and the public.

The primary role of the Project Manager-Faculty Diversity, Equity and Inclusion (FDEI) is to serve as the grant/financial administrator for coordination and management of associated research and educational activities in the Faculty Diversity Program. The position is responsible for all financial aspects of this Program: managing budgetary allocations within the program and monitoring financial status, personnel level of effort reports, and any needed budget transfer notifications. She/he will serve as study manager, implementing and maintaining standard operating procedures and protocols for tracking interactions between Scholars and mentors and sponsors. She/he will coordinate and manage sponsorship activities and relationships. She/he will assist and manage the recruitment and onboarding of scholars. She/he will contribute to the development of career development programs for the scholars. She/he will support internal communications with program participants and the Academic Leadership Board, as well as arrange annual meetings with the External Advisory Board. The Program manager will direct participant recruitment materials, participate in monthly Program calls. She/he will maintain and update Program materials and means for communicating results and participation reminders to subjects across the institution. She/he will coordinate responses to requests for/from the Evaluation core and assist with data audits.

JOB SPECIFIC COMPETENCIES

Program Leadership Support
  • Provide senior-level coordination with the appropriate MDACC offices for faculty recruitment, mentoring and promotion activities.
  • Coordinate and work closely with staff in three PIs department.
  • Schedule monthly meetings for the PIs and Core Leads to evaluate progress.
  • Assist in preparing and submitting manuscripts, grant applications, progress reports and all required documents for the FDP.
  • Assist team to provide program expertise and to design initial activities, analyze and interpret data, assess follow-up impact, and prepare data reports/summaries.
  • Review outcomes-oriented logic models in collaboration with the Evaluation Core.
  • Identify additional funding sources and grant mechanisms for FIRST Scholars.

Organizational infrastructure
  • Support the overall program management of the FDP by identifying grant and foundation funding awards.
  • Partner with FDP Scholars and Institutional stakeholders to build collaboration and identify opportunities leading to professional development of scholars.
  • Assist team to provide program expertise and to design initial activities, analyze and interpret data, assess follow-up impact, and prepare data reports/summaries.
  • Work with AVP of Faculty Diversity, Equity and Inclusion and coordinate with assigned PI representatives to develop draft work plans, timelines, and budgets for internal and external collaborations.
  • Assist with managing and mentoring scholars, staff to ensure project deliverables and timelines are met.
  • Assist with screening, interviewing, and advising on potential candidates for hire.
  • Attend seminars, meetings, and training to develop and advance Faculty DEI knowledge as relevant to job duties.

Administrative management
  • Certify compliance with all University of Texas MD Anderson regulations and requirements.

  • Provide timely communication and consultation with PIs, Core co-leads, mentors, sponsors and other staff.

  • Perform fiduciary duties such as budget development, contract negotiations, purchasing, financial management, analysis, and forecasting.

  • Develop and distribute literature and educational materials related to the FDP Program.

  • Provide secretarial, personnel, and other support to meet project, program, and core goals.

  • Schedule all Program meetings (videoconferences, teleconferences, workshops, seminars, in person meetings, site visits, etc.).

  • Make travel arrangements for off-site meetings, and provide logistical support for on-site and off-site meetings, including recruitment visits.

Scientific Writing and Communications
  • Create and update the program's website and employ multiple communications platforms to promote discourse, teaching, data gathering, tracking and information exchange, including the use of email; webinars; Internet TV; collaborative and learning environments; lecture capture with relay; virtual multi-user workspaces; social media; file transfer protocol; electronic newsletters; and mobile, desktop and group videoconferencing.

  • Ensure all internal constituencies have access to research data and findings.

  • Build databases to compile extensive data for entry, labeling, surveying, analysis and tabulation for tracking participants, activities, outcomes, manuscripts, grants, and meetings.

  • Collaborate with institutional information security to safeguard electronic data.

  • Assist team in preparing medical illustrations, publication graphics, scientific posters, and slide presentations for national and international meetings.
  • Perform literature reviews of scientific journals and coordinate, participate, and present in journal club meetings.
  • Prepare and assist with nominations for scientific awards, communication text, donor reports, and thank you letters.

Grant Proposal and Writing
  • Identify and assist in applying for federal and private foundation funding opportunities.
  • Liaise with funding agencies to discuss funding eligibility.
  • Assist Scholars to conceptualize, write, organize, and submit research grant applications.
  • Assist in the analyze and interpretation of data and information as related to proposals, grants, abstracts, and manuscript submissions.
  • Work with support teams (including bioinformatics and biostatisticians, OSP, ORA, CRF, regulatory/compliance) as needed to meet MDACC and federal standards.
  • Work with PIs, Core leaders, mentors and Scholars to develop budgets for grant applications and preclinical proposals, including creating initial scientific budget and ensuring alignment with planned experiments and analyses.

Experience
Required: Bachelor's degree.

Preferred: Master's degree or PhD, in one of the natural sciences or related field.

Experience
Required: Seven years of related professional experience to include two years of leadership experience. With preferred degree, five years required.

Preferred: With preferred degree, five years of required experience to include two years in a supervisory/managerial capacity.
