Job Description

SUMMARY:

Reporting to the Dean of Student Affairs, the Project Coordinator (“Coordinator”), the Project Coordinator coordinates identified projects from project definition through the development and support dissemination and evaluation efforts as appropriate; leads assigned aspects of Student Affairs’ strategic planning process including initiative planning and implementation; and develops and maintains internal systems, processes, and mechanisms to improve efficiency and effectiveness. The Project Coordinator also develops and maintains internal systems, processes, and mechanisms to improve efficiency and effectiveness; leads assigned project teams from project planning through completion; and prepares high level reports and summaries for the Dean.


PRINCIPAL ACCOUNTABILITIES:

  • Coordinates identified projects from project definition through the development and support dissemination and evaluation efforts as appropriate; leads assigned aspects and maintaining project plans; works with the Dean of Student Affairs and other project leaders to identify project goals, budgets, and timelines in collaboration with and/or based on input from relevant stakeholder groups; maintains timelines for identified projects; and participates the development of a multi-year planning process.
  • Leads assigned aspects of Student Affairs’ strategic planning process including initiative planning and implementation.
  • Develops and maintains internal systems, processes, and mechanisms to improve efficiency and effectiveness.
  • Leads assigned project teams and/or departments from project planning through completion.
  • Develops and maintains mechanisms for internal strategic plan implementation and monitoring.
  • Manages multiple responsibilities simultaneously; leads or participates on project teams; and reports team progress, problems, and problem-solving to the Dean of Student Affairs.
  • Prepares high level reports and summaries for the Dean; collaborates with the Communications and Marketing Coordinator on the development and dissemination of newsletters, annual reports, and other publications; and assists with editing/proofreading of materials.
  • Documents, with guidance, if needed, strategic plan and institutional project progress for reporting, historical, and other purposes; assists in the preparation of reports needed for the President’s Office, Board of Trustees, U.S. Department of Education, GPRA, and other purposes; and supports the development of communications for key internal and external stakeholders.
  • Works effectively with unit personnel, external contractors, and/or student interns and paraprofessionals.
  • Performs any assigned administrative responsibilities in compliance with policies, procedures, and timelines.
  • Establishes and maintains a positive and supportive working relationship with co-workers and supervisor.
  • Shows a genuine commitment to diversity, equity and inclusion in the workplace; and participates in activities and workshops to foster continuous learning.
  • Serves as a mandatory Title IX reporter; and takes annual Title IX training as part of the compliance effort.
  • Performs other related duties, as assigned.


SPECIFICATIONS:

Required Qualifications: (When the candidate’s resume meets these qualifications, it will be screened in.)

  • Bachelor’s degree.
  • A minimum of three years of professional experience in coordinating or providing in a particular project/program area.
  • Fluency in American Sign Language.

Preferred Qualifications: (While not required, it is an advantage for what the position needs.)

  • Master’s degree.
  • Experience in a higher education setting.
  • Experience managing multiple responsibilities effectively.
  • Experience with project planning, implementing, and leading project teams.
  • Experience with and understanding of assessment process and knowledge of strategic planning.

  • Evidence of effective writing skills for general and professional (executive) audiences and the ability to communicate complex issues with clarity.
  • Creative mind with superb written and verbal communication skills.
  • Demonstrated ability to translate organizational priorities into structured, strategically aligned plans with objectives, strategies, tactics, timelines, resources, metrics, etc. Comfort with conceptual thinking and scenario planning.
  • Ability to work independently, be details-oriented, and have excellent time management and organizational skills in order to develop priorities and meet deadlines.
  • Demonstrated experience managing and completing multiple, complex, high-level responsibilities simultaneously.
  • Ability to work under pressure and meet strict deadlines.
  • Demonstrated ability to work effectively with people from diverse backgrounds and to cultivate an atmosphere of teamwork within the division.
  • Current computer skills including Microsoft Office and the ability to use and/or learn relevant project management software.
  • Ability to think creatively and propose bold ideas.
  • Tolerance of ambiguity, flexibility, and a good sense of humor.


COMPENSATION
Level: 8
Salary: Commensurate with experience and qualifications
FLSA: Exempt

The incumbent will work occasional evenings, nights, weekends, and holidays sometimes on short notice, to meet operational needs.

The successful candidate will undergo a background check that must be cleared prior to working at Gallaudet University.
