POSITION SUMMARY:

The Amyloidosis Center at Boston Medical Center and Boston School of Medicine is unique, providing exceptional care for its patients with all forms of systemic and localized amyloidosis through the support of laboratory and clinical research. Receiving general direction from the Director and working collaboratively with Physicians, NPs and Ambulatory Services Representatives, the Program Coordinator is responsible for providing general programmatic support to the Center and patient intake assistance to the Amyloid Center patients in a professional manner. The Incumbent will serve as a point of contact by phone, email, and/or in person, ensuring that both clinical and non-clinical needs of the Amyloidosis Center are met. The Program Coordinator will ensure quality and timely processing of all Amyloid consulting cases and regulatory compliance documentation. Additionally, this individual is responsible for the management and tracking of all fundraising activities.

The Program Coordinator is responsible for coordinating all operational activities of Hematology Amyloid Unit, including development and monitoring of the program's protocols. Provides training, guidance and oversight to assigned staff. Reviews weekly caseloads, monitors that staff are following approved protocols and procedures, ensuring that they are providing patients and program members with proper screening, guidance, referrals to community resources, etc.

Clinical Program Coordination:
  • Acts as point of contact for Amyloidosis Center, answers and resolves patient, family, & physician inquires in a professional, empathetic and patient-centered way.
  • Schedules patient evaluations, working closely with the director and clinical director to schedule patients in a timely and efficient manner and request necessary records and specimens.
  • Monitors and responds to messages from the Amyloidosis Center shared email and VM in a timely manner.
  • Coordinates with external institutions as well as international patients to obtain medical data and other medically necessary information required for thorough patient evaluations prior to patient visit.
  • Educates and consents patients/subjects to the Amyloid Tissue and Data Repository
  • Ensures patients and referring doctors receive post visit evaluation summaries in a timely fashion.
  • Coordinates amyloid consulting cases with laboratory, ensuring efficient processing of specimen samples and accurate documentation.

Office Operation Management:
  • Assist the Center administration team with the effective workflow of the daily office operation.
  • Contributes to maintaining the Amyloidosis Center website, Twitter and Facebook.
  • Attend weekly multidisciplinary staff meetings and activities, meet regularly with Center leadership and staff.
  • Responsible for HIPAA protected data collection and maintaining study patient information.
  • Manages Amyloid Database and ensures clinical data are entered into database in a timely manner.
  • Coordinate travel and housing arrangements for guest speakers, as well as other faculty and staff.
  • Assist with developing and maintaining Standard Operating Procedures for Center.
  • Oversee and perform administrative and organizational activities for the clinical and research programs of the Amyloidosis Center as required.
  • Responsible for project planning, progress tracking, and reporting out on projects as assigned.

Fiscal Responsibility:
  • Assist with the tracking of fundraising actions and activities in a donor database and prepares and distributes team reports.
  • Coordinate with development office to ensure donors are notified by donation acknowledgement letter.
  • Assist with payroll, staff personnel recruitment and hiring.
