Job Description

The Family Medicine Residency Program Associate provides project and program support for a fast-paced, large teaching program at the San Francisco General Hospital and Trauma Center (SFGH) and at the Family Health Center (FHC). The largest safety net primary care clinic in San Francisco, the Family Health Center provides compassionate and culturally responsive care to a diverse community of patients in more than 20 languages. SFGH and the FHC is owned and operated by the City and County of San Francisco, Department of Public Health and are part of a city-wide integrated health care system.

The Program Associate will be passionate about supporting medical education to improve healthcare delivery for underserved and marginalized populations. They will share in our mission to improve health through excellence in patient care, education, research, advocacy, and community empowerment. They will be a pragmatic problem-solver and a team player, with excellent communication skills and meticulous attention to detail.

The Program Associate will be responsible for administering the following broad categories:
  • Resident Support: Serves as point of first contact for residents around logistical issues, schedule issues program events, and educational activities. Utilizes strong interpersonal and relationship building expertise to support continuous open communication and engagement between and among program learners and stakeholders over the course of their three-year training program.
  • Residency Program Operations: Works with program managers, residents and/or faculty to meet the educational needs of program learners through collaborative development and implementation of programmatic activities, which may include program curriculum, evaluations, and special events. Assists with HR onboarding, licensing, and other administrative tasks associated with physician training. Assists with resident recruitment, including interviewing and selection processes. Assist with the development of residency website and other recruitment/informational materials. Assists with resident payroll management, as well as schedule development, schedule tracking, and data management and reporting. Serves as primary liaison with external training sites, managing onboarding processes and paperwork at those sites.
  • Residency Financial Management: Plans, executes the logistics, and monitors budgets for program social events and/or educational activities, which may include recruitment; orientation; graduation; conferences; and simulation and/or other assessment activities
  • Department Administrative Support: Provide support to the Operations Manager or designees and assigned Department Faculty as needed, with emphasis on efficiency, customer service, and the ability to multi-task while maintaining established priorities.

The UCSF Family & Community Medicine Residency Program (FCMRP) has 45 Resident Physicians and 3 Chief Residents. FCMRP also coordinates off-site rotations at affiliated training sites, as well as clinical and research fellows from closely aligned programs and departments. This position reports to the Residency Program Manager, and indirectly to the Residency Program Director and the FCM-SFGH Operations Manager. The position works as part of a collaborative team supporting the Residency program, which includes an evaluation analyst, quality improvement teams, administrative coordinator, clinic administrator(s), and credentialing liaisons. The Program Associate directly supports the functions of the Residency program, with guidance from the Program Manager and Program Director. This position also provides limited administrative and logistical support to assigned faculty associated with the Residency Program.

The Program Associate requires independent problem solving and decision-making, and candidates must demonstrate excellent problem-solving abilities. This position requires the ability to carry out multiple tasks and projects simultaneously, while encountering frequent disruptions in workflow from residents, faculty, and staff. The ability to manage one’s time effectively to ensure timely and accurate completion of assigned work is imperative, as is the maintenance of professionalism, customer service, and a calm demeanor when juggling multiple requests.

Department Description

The Department of Family & Community Medicine (DFCM) is engaged in research, teaching, training, service and clinical activities located at seven primary UCSF and leased sites in San Francisco (Parnassus, ZSFG - Buildings 80, 90, 20 and the Main Hospital, Mission Center Building, Laurel Heights, Mission Hall, Lakeshore, Lakeside) as well as the Osher center, Women’s Health and the UCSF Primary Care Practices at China Basin and Laurel Village and at various local community, national and international research/service/education training and clinical sites. In addition to the Department’s Family Medicine Residency Program located at Zuckerberg San Francisco General (ZSFG), the Department has affiliated residency programs in Fresno, Salinas, Kaiser Vallejo, Santa Rosa, and Contra Costa Health Systems. Authority and accountability for the Department reside with the Department Chair who delegates authority to Vice Chairs, the Executive Council, Directors and Chiefs of Service and their Administrators and the Department Associate Chair of Administration and Finance.

The mission of DFCM is to educate students and residents in family medicine with an emphasis on meeting the needs of the economically disadvantages and the medically underserved, to advance knowledge in family and community medicine; and to develop methods of primary care that are effective, efficient, and accessible to all people. DFCM is nationally recognized for our pioneering research programs in primary care and community health. The DFCM has a large teaching, research and clinical set of programs and activities based at Zuckerberg San Francisco General Hospital, where this position is based.

Required Qualifications

  • Bachelor's degree in related area and minimum 3 years of relevant experience and/or equivalent experience/training
  • Thorough knowledge of administrative analysis and operations research. Demonstrated ability to develop and implement processes and systems
  • Demonstrated experience and documented excellence in oral and written communications skills; includes active listening and critical thinking
  • Strong interpersonal skills. Actively cooperates and supports the work of others. Ability to work productively with anyone regardless of background. Empathetic and aware of impact on others. Strong problem-solving skills to assist learners and resolve issues
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to complete work and meet established deadlines in an accurate and timely manner, and to manage short and competing deadlines

Preferred Qualifications

  • 1-2 years’ experience in an academic and/or healthcare setting
  • Thorough knowledge of the administrative and operational implications in a program
  • Thorough knowledge of data management, documentation methods used in investigating and presenting findings about the program. Skills include statistical analysis of data across databases and systems
  • Demonstrated proficiency in team- and/or relationship-building, engagement, change management, conflict mediation/management, and/or related areas.
  • Thorough knowledge of relevant policies and regulatory requirements. Solid knowledge of health professions education program requirements. Thorough knowledge of health professions education industry
  • Thorough knowledge of educational software and platforms. Demonstrated ability to analyze and seek solutions to enhance the user experience
