Summary: The Procurement Assistant is responsible for performing a variety of administrative support duties for the Procurement Department. This includes processing purchase orders and requisitions, tracking and maintaining inventory, reviewing invoices, maintaining files, and placing orders as needed. The Procurement Assistant also will assist in completing related reports and documentation as required.

Essential Duties and Responsibilities:
  • Responsible for the effective and accurate performance of assigned clerical and procurement functions.
  • Reviews daily Lost Sales Reports and report information to buyers, relevant Operations staff and vendors as necessary.
  • Conducts status checks on purchase orders and supply requisitions; routes and escalates appropriately to ensure issues are handled in a timely, effective manner.
  • Maintains files for purchase orders and requisitions; confirm faxed purchase orders and verifies availability; adjusts purchase orders as needed within defined scope of responsibilities.
  • Types and prepares a variety of documents, reports, and records including, but not limited to, Returns to Vendor, mis-shipments, Expeditors Report and billbacks.
  • Completes special purchases and requests and miscellaneous procurement duties as assigned.
  • Establishes and maintains effective, professional business relations with vendors and service providers. Obtains and conveys information courteously and promptly all while projecting a professional demeanor on behalf of DPI.
  • Responsible for establishing and maintaining effective coordination, communication, and working relations with DPI personnel and with management.
  • Assists and supports department personnel as needed. Resolves requests, questions, and problems promptly.
  • Interacts with the Inventory Control and Operations departments with requests for product cycle counts and problem research.
  • Assists and supports Procurement Department personnel as needed.
  • Informs management of area activities and of any significant problems or concerns.
  • Assumes responsibility for related duties as required or assigned.
  • Completes special projects as assigned.
Other Duties and Responsibilities:
  • May perform other duties as needed in order to assist with DPI operations.
  • Maintain clean work environment, may involve picking up trash or cleaning spills.
Knowledge, Skills & Abilities: High school diploma or equivalent is required. Four years of administrative support, or similar field experience, is required. The employee must be proficient in Microsoft Office (Excel, Word, Outlook and Power Point). . Oracle experience is preferred; if none, must become proficient within 90 days of hire. The employee must be able to perform mathematic functions, analysis and writing skills to accomplish designated Procurement Assistant functions. Employee should be detail oriented and possess strong communication skills.
Work Environment: The work environment is indoors in a professional office environment. The floor surfaces are carpeted in office areas and conference rooms with vinyl floor covering typical in hallways, break rooms and computer rooms.
Work Hours: The work schedule is 5 days a week, 8 hours a day. Start time may vary, with work hours typically 8am-5pm. Work hours and shifts are subject to change depending on operating business conditions and needs. The employee may be required to work overtime and holidays or weekends.

Physical and Mental Demands: Sedentary, exerting up to 10 of force occasionally, and/or negligible amounts of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Know and follow proper office and safety protocols; know and follow DPI dress code and personal hygiene requirements; ability to multitask and monitor multiple projects and needs of internal and external customers; perform mathematic functions and analyses and use writing skills to accomplish designated Procurement Assistant functions; understand and apply knowledge of Procurement and inventory policies and procedures.

This position can be located at one of three offices: Tualatin, Oregon or Ontario, California or Henderson, Colorado

Pay starts at $19-$20 per hour
