Job Description

Sign-on bonus

POSITION SUMMARY:

Responsible for making and scheduling patient appointments in a timely manner, following physician specialties and protocols and/or scheduling MRI appointments.


ESSENTIAL RESPONSIBILITIES:

Patient Appointments

  • Schedules, coordinates, and reschedules appointments for new and established patients.
  • Respond to appointment requests received via multiple applications (phone, text, website, fax).
  • Coordinates notification of changes in appointments or data to appropriate staff.
  • Completes new patient registration process.
  • Ensure patients are scheduled in accordance with physician protocols and within proper specialty.
  • Updates and maintains patient demographics as needed.
  • Reschedules bumped and cancelled appointments as necessary.
  • Obtain referral from PCP if needed.
  • Process incoming referrals.
  • Maintains files with insurance authorizations and referral information.
  • Send flags to MA/Provider regarding patient inquiries.

MRI Appointments

  • Verify that each MRI is scheduled correctly according to MRI scheduling protocols.
  • Verify the MRI screening form is filled out correctly and completely prior to patient arriving for MRI appointment.
  • Ensure that all prescheduling requirements are met regarding Orbits x ray requirements.
  • Ensure all medical clearance is obtained and necessary information regarding implants or other devices is gathered for MRI Techs.
  • Enter all order related information into the IntellePacs system and verify its accuracy.
  • Review the MRI Schedule daily to ensure its accuracy, checking for updates, errors, or cancelations.
  • Provide a copy of the daily schedule and the printed MRI screening form to the MRI Techs.
  • Ensure insurance prior authorizations is obtained. If not, contact patient and reschedule.
  • If authorization is not received, refill the schedule.
  • Mail outpatient letter and/or text patient if unable to be reached by phone after the 2nd
  • Flag MA/Provider regarding questions on MRI’s orders.
  • Check voicemail in the AM and PM and return calls promptly.
  • Work the schedule to accommodate physician STAT MRI requests.

Other

  • Assist in covering team member’s work when others are out.
  • Works overtime hours as needed.
  • Adheres to company policies as described in employment handbook and company work rules.
  • Participates in professional development activities and opportunities.
  • Attends staff meeting and others as required.
  • Maintains confidentiality of patient account information in accordance with HIPAA guidelines and NMOA policy

EDUCATION AND/OR EXPERIENCE:

High School Diploma or GED and two years of relevant experience. Pre-verification and medical scheduling experience in a medical office setting preferred.

Noise level in the work environment is usually moderate.
