Job Description

Position Summary

The Office Manager is responsible for coordinating office activities and operations, assisting with procurement and purchasing activities, and providing administrative and clerical support. This position reports to the Director of Insurance & Procurement and is a part of the Financial Services Group.

Responsibilities

  • Primary point person at Headquarters for office maintenance, mailing, supplies, equipment
  • Responsible for managing Office Services Team and oversight of two employees, including the receptionist and mailroom attendant
  • Provide general support to visitors
  • Responsible for implementing office policies
  • Responsible for maintaining the office and ensuring office cleanliness
  • Building and maintaining long-term relationships with vendors and suppliers
  • Approving purchase orders and confirming delivery of goods and services
  • Monitoring the procurement budget for multiple locations and promoting a culture of long-term cost savings on procurement costs
  • Preparing procurement reports and other data reports as needed
  • Providing coverage at reception desk when needed

Requirements

  • Bachelor’s degree in business administration
  • Proven office management, administrative or assistant experience
  • Knowledge of office management, responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
  • Knowledge of administrative management and practices and procedures
  • Knowledge of clerical practices and procedures
  • Knowledge of business and management principals
