Position Summary:


We have an exciting opportunity to join our team as an Office Coordinator. The position of Office Coordinator with Continuing Medical Education at NYU Grossman School of Medicine reports to the Assistant Director of Continuing Medical Education. The position requires strong communications and organizational skills, excellent time management skills with an ability to prioritize, work well in a team setting, and show the flexibility to handle specific projects on an as-needed basis.


Job Responsibilities:


  • Create all course materials, including collection of faculty disclosure and PowerPoint presentations, assembling of content and coordination of all materials
  • Manage course app; set up courses, credit instructions, upload presentations and photos, handle all polling and Q&A (when applicable in-person)
  • Liaise between CME office and AV consultant/platform vendor, ensuring they have all necessary information to work the course effectively
  • Pack and unpack for all in-person CME courses
  • Work course events (will involve early mornings, late evenings and weekends)
  • Schedule meetings; maintain CME calendar, organize meetings and WebEx
  • Maintain inventory, order office and course supplies (including tables), and maintain Course Setup spreadsheet
  • Management of archived files, including tracking and destruction
  • Mail packages as needed
  • All other administrative duties as assigned

Additional Position Specific Responsibilities:


Proficiency in MS Office products, Adobe Acrobat Pro, databases and department specific applications. Effective organizational, communication and interpersonal skills required


Minimum Qualifications:


To qualify you must have a Bachelors Degree and at least 3 years of experience in an office setting or equivalent combination of education and experience.


Qualified candidates must be able to effectively communicate with all levels of the organization.
