Job Description

What are we looking for?

An Office Administrator/Service Coordinator who’s a full-on firecracker

Where are we located?

Omaha, Nebraska

What kind of job is this?

Full-time

Who are we?

Remember the cartoon The Jetsons, as a kid? Or, how about the movie, Iron Man?

Both shows have a key commonality: they showcased really bad-ass homes that were souped up with the kind of technology that would blow your mind if that technology actually existed in real life.

Well, what was fiction is rapidly becoming real life. Consumer technology and smart home systems are evolving at a rapid pace, which means homes being built or renovated today and in the coming years are going to look more and more like those homes in the movies.

We’re a small, but growing team dedicated to helping our clients envision possibilities they didn't know existed by designing and installing custom home technology solutions that enhance their home living experience. Our systems are custom designed in collaboration with our clients and their contractors, using best practices we’ve developed through years of experience and living with the systems we sell.

We’re headquartered right here in Omaha, and have been in business for over 13 years. We’re family-owned, and therefore treat each other like family. New residential construction projects are our main focus. We install multi-faceted systems in homes, including lighting control, distributed audio and video, network, security and motorized window treatments. We strive to redefine and exceed the expectations of how people enjoy their homes. Aside from our passion for home technology, we are passionate about our team members. We strive to create more than a work environment — we are crafting a home that bolsters transparency and innovative ideas from all of us.

If you’re interested in joining a team that gets a rush out of providing top-quality service for very discerning clients, and joining a team that loves to stay on top of the latest evolving technology for the home, then you’ll definitely feel right at home with us!

Position Description:

Our team is in search of a joyful and uplifting person who will be the heart and soul of our client communications and relationships. As such, you will play a lead role in helping our team thrive by providing exceptional administrative support. While only about a quarter of your role will involve service coordinating tasks and projects (more on this later, so stay tuned. . . ), there are plenty of other parts of the business that will require your attention. Some of those responsibilities include answering the phone, greeting clients, maintaining facilities upkeep and office supplies, maintaining databases, supporting the leadership team, and assisting with managing the warehouse and inventory. And now to tap into the creative, right-side of the brain, this individual will work alongside the Operations Manager to assist with projects such as implementing new processes, company events, marketing campaigns, and client gifting, to name a few.

As the Service Coordinator at Home Theaters, Etc., the rest of your time will be spent ensuring our clients receive a world-class service and support experience 100% of the time. This will include working extensively within a suite of service tools that we have implemented, including Slack for communications and Zendesk for ticket-tracking (don’t worry, we’ll train you on these tools). You will be responsible for ensuring follow-through in a timely manner, coordinating and scheduling resources, and staying in close communication with our clients throughout the process. You will work directly with our company leadership and field service team to continually ensure that our service systems and highly-structured processes are adhered to by both our internal team and our valued clients.

Some days, your daily work will be planned and structured. However, ours is a fast-moving and dynamic line of work. Your priorities can shift at a moment’s notice. You must be comfortable with this and willing to be an active participant in juggling multiple demands. We need someone that can take curveballs like a champ!

On a more granular level, your responsibilities consist of the following:

  • First and foremost, providing an exceptional customer service experience to our clients
  • Assisting our clients in finding services and support memberships that meet their unique needs
  • Optimizing and executing our service processes
  • Coordinating and maintaining our project and service schedules

  • Maintaining current client information in all of our systems
  • Assisting with inventory management
  • Performing any relevant administrative tasks
  • Keeping our showroom, office, and warehouse presentable and organized
  • Helping out with special projects as assigned

What should you bring to the table?

  • 1-3 years in a high-end customer-facing service role preferred
  • A high school degree or GED equivalent
  • Organizational skills better than Marie Kondo’s — dedication to details and follow-through is a must!
  • Strong computer skills, coupled with a general aptitude for technology
  • Adobe Creative Cloud and digital marketing experience is a plus!
  • Patient and friendly personality at all times
  • Excellent communication skills – both verbal and written
  • Resourceful and willing to patiently work through challenging situations
  • Ambition to strive for 100% client satisfaction at all times
