What we need:
VVG is looking for an Office Administrator to assist in organizing the billing and administrative functions of the Service and Parts Department – from customer pay to warranty submission. This position is perfect for a candidate who has strong attention to detail and is open to learning operational functions.


Essential Job Functions:


  • Assists with warranty claims by uploading photos and following through on warranty
    claims
  • Assists with Cashier functions, ensures billing is sent to appropriate
    departments/customers
  • Ensures every invoice is sent through our billing system Docuphase, must have
    ability to ensure accuracy and timely delivery of invoice
  • Ensures all postings on sublets on service invoices are completed
  • Assists with vehicle inspections and consistently partners with service advisors
    to ensure team is supported
  • Responsible for tracking all fuel and submits to correct departments for payment
  • Ensures safety is prioritized at location, must track and log all hazardous
    material for location and be an ambassador of safety protocol
  • Assists in vehicle pickup and delivery by occasionally bringing delivery drivers
    back from drop off or pick up.
Other Job Functions:
  • Maintains Service and Parts Department filing and records as needed
  • Assists with welcoming new hires and walking them through new hire paperwork
  • Other duties or projects as assigned by Management


Skills and Qualifications:
  • Basic knowledge of accounting practices preferred
  • Strong organizational and communication skills
  • Ability to use computer applications such as Microsoft Office and internet-based programs
  • General understanding of mechanical/technical terms is preferred
