AquaLife Ponds in Costa Mesa, CA is looking to hire a full-time Office Admin to take care of day-to-day administrative and customer service operations with a focus on efficiency and time management. This administrative position earns a competitive wage of $18 - $20/hour. We provide excellent benefits, including paid time off after 90 days (40 hours accrued per year), paid holidays, bonuses, commissions, and company apparel. A DAY IN THE LIFE OF AN OFFICE ADMIN

As an Office Admin, you handle various correspondences such as phone calls, phone texts, and email. For each lead, you perform intake, collect photos, and enter information onto our customer relationship management (CRM) system, Jobber. Leveraging your customer service skills, you speak to clients and schedule consultation appointments or maintenance services. You let customers know of the schedule or changes that may arise. With professionalism, you resolve problems by developing plans, communicating with customers, and entering all needed information into our CRM.

You are a master of our CRM as you create tasks for other team members, add customer payments including maintenance accounts, and upload all contracts to the CRM. As you create customer files, you keep them organized and have them ready when needed. You update files, report weekly KPIs, manage HomeAdvisor, and report to management when necessary. You also keep our office clean and prepped as you maintain inventory of our supplies, order materials as needed, take out the trash, and water plants. You feel accomplished using your customer service and admin skills to streamline administrative procedures, inventory control, and customer relations.


QUALIFICATIONS FOR AN OFFICE ADMIN

  • 5+ years of office administrative experience
  • Proficient with Microsoft Office, specifically Word and Excel
