The Bradley Wealth Team is seeking a motivated individual with 3-5 years of institutional financial services or wealth management experience, to be part of our A+ Team. As the Operations Specialist/Associate, you will report directly to the Operations Manager. You will also be expected to support our Wealth Advisors and be a team player.

You will play an integral role in building and strengthening client relationships on many different levels and implementing systems, processes, and tasks to exceed client expectations. You will also need to be capable of taking responsibility for the success of the firm and for each client’s goals and needs.

The Operations Specialist/Associate will manage new client paperwork, maintain and service our existing client accounts, and fulfill client transactions and requests as a part of our Operations team. It is crucial we maintain a high level of quality and attention to detail and ensure every one of our client’s accounts and transactions are properly set up and accurately maintained.?This role requires a strong attention to detail and a high degree of operational and process acumen. You will be expected to collaborate closely with our custodians and third-party vendors while providing on-going service and support to clients that exceed expectations.?This includes determining what actions need to be completed to set up new accounts or perform maintenance on existing client accounts on an accurate and timely basis.?Coordination of projects, training, and on-going development of improved office procedures is also required.

WHAT TO EXPECT

Communications:

  • Handle client communications to support implementing all operational tasks
  • Contact clients to inform, research, and implement operations tasks and programs
  • Act with urgency and accountability in keeping clients informed
  • Responsible for updating/maintaining the CRM (RedTail) database
  • Detect any needed missing client information and update accordingly in the CRM
  • Accurately review and respond to client inquiries and requests on existing accounts, such as contributions, withdrawals, transfers, investment changes, allocation changes, address/beneficiary changes, terminations, RMDs, tax/cost basis, etc.
  • Draft, review, or edit client correspondence for Advisors, if needed
  • Responsible for “random acts of kindness” to clients
  • May perform other duties or special projects as required and assigned

Vendor Interactions:

  • Effectively communicate to all vendors, strategic alliances, and the public in support of business objectives and implementing of operational tasks and programs
  • Follow-up with vendor tasks needed on a day-to-day basis to assure tasks are completed
  • Initiate in-kind assets and cash transfers from different vendors in keeping with turnaround time standards, high accuracy, and communicating with clients
  • Respond urgently to NIGO (not in good order) requests from vendors to resolve
  • Interact with vendors and delivering Financial Institutions to ensure account transfer requests are processed in a timely fashion and according to client instruction
  • Conduct phone calls with custodians to research potential issues within client accounts

Operations:

  • Learn all vendor forms, procedures, and processes to effectively and timely implement client requests
  • Learn all systems well: RedTail, NetX360, NetDocuments, Orion, DocuSign, MoneyGuidePro, and Alternative Investment(s) platforms
  • Process new accounts, account transfers, fund transfers, new contributions, redemptions, beneficiary changes, and all other operational activities
  • Manage, track, and review client transactions and activity, including all new business accounts and applications in accordance with firm SOPs; ensure all new account applications are in good order (IGO) and processed in a timely manner with accuracy; provide clients with an efficient, consistent, and reliable service experience
  • Ensure immediate and accurate resolution of all client servicing and account issues (NIGOs); the process includes root cause identification, resolution, and improvement implementation
  • Primarily Responsible for all 401K Pershing/SSG responsibilities and backup for Alternative Investments
  • Document processes you are responsible for and work with the Operations Manager to develop a quality, written procedure to be able to train anyone
  • Develop a continuous improvement process mentality to offer suggestions, streamline processes, and implement improvements to be more efficient and effective
  • Continually evaluate day-to-day activities for process improvement initiatives?
  • Assist in the preparation of materials for upcoming client meetings
  • Conduct and participate in client meetings, face-to-face, to complete required paperwork (as training progresses)
  • Become subject matter expert in operational policies and procedures
  • Follow the guidelines provided to achieve goals and deliverables that support business goals in collaboration with management and stakeholders
  • Maintain compliance guidelines, policies, procedures, regulations, and within appropriate regulatory guidelines
  • Collaborate with the?Client?Care?Team on ad hoc requests and projects, including new client onboarding

  • Prepare and follow Bradley Wealth’s Core Values day-in and day-out
  • Focus on priorities related to upcoming Client meetings today and in the near future
  • Act with a sense of urgency while never compromising quality and attention to detail
  • After each Client meeting, learn what priorities we committed to and act quickly
  • Provide clear, timely, and responsive communications with team members and vendors to assure the highest level of service
  • Adhere to all company and industry supervisory guidelines and policies
  • Participate in required meetings, training, and continuing education requirements
  • Assist with our Zoom Video Communications for both meetings and webinars
  • Develop processes and procedures that enhance accuracy and streamlines each process
  • Set and continually meet project expectations with team members and management
  • Review and audit all daily workflow processing and metrics to ensure optimal service levels?

Greet clients (backup phone and office support)

  • Answer phone in a warm, polite, professional, and caring way
  • Welcome all clients and guests into the office in a warm and friendly way
  • Effectively communicate to all clients in support of business objectives

WHAT YOU NEED

  • Proficiency with personal computers and Microsoft Office applications (i.e., Word, Excel, and PowerPoint) with the ability to operate standard office equipment is required
  • Ability to use a computer keyboard and sit in a stationary position for extended periods as well as the use of office equipment such as fax, copy machines, and telephones
  • Ability to interface effectively with all levels of personnel
  • Must be comfortable working at a varying pace, managing people, multiple tasks, and deadlines simultaneously, adjusting priorities often as well as work schedule; must be able to manage many interruptions
  • Must be positive and approachable, work effectively with diverse personalities, and be able to collaborate, innovate, and serve our valued clients
  • Must have an excellent understanding of investment terminology, trends, and factors influencing the industry
  • Knowledge and experience with different types of investment/brokerage accounts – IRA, Roth IRA, TOD, etc.

PREFERRED EDUCATION AND EXPERIENCE

  • Bachelor’s degree in business administration, accounting, finance, or similar field of study
  • 2-5 years’ hands-on experience in financial services Operations
  • Knowledge of Wealth Advisor office tools (i.e., Asana, Redtail CRM, Orion, NetDocuments, and DocuSign)
  • Strong knowledge and proficiency of Microsoft Office, including Word, Teams, Excel, and Outlook
  • Series 65 preferred
