The Manager, Maintenance is responsible for organizing, administering, and ensuring the execution of the general operating maintenance and repair of the community in a safe, clean and comfortable manner. The Manager, Maintenance may, where applicable, direct the work of Maintenance Tech I and/or Maintenance Tech II. Manager, Maintenance reports to the community Executive Director with direct support from corporate property maintenance personnel.

Manager, Maintenance Job Responsibilities:
¨ Establish, monitor and update (as necessary), and ensure the community’s adherence to a preventative maintenance system and schedule for all systems including but not limited to: HVAC, elevator, fire life safety equipment, fire sprinkler, generator landscape, kitchen equipment, backflow preventers, testing of emergency systems, asset preservation, and replacement of smoke detector batteries
¨ ELECTRICAL/MECHANICAL: Must be knowledgeable and capable of independently identifying and troubleshooting problems, which may include directing or overseeing others to make electrical repairs, including but not limited to: wall switches, lighting, receptacles, wiring, resident call system, control devices, elevator, as well as common area and resident apartment appliances and equipment
¨ PLUMBING: Must be knowledgeable and capable of independently identifying and troubleshooting problems, which may include directing or overseeing others to make plumbing repairs, including but not limited to: boilers, faucets, showers, toilets, and drains
¨ HVAC: Must be knowledgeable and capable of independently identifying and troubleshooting problems, which may include directing or overseeing others to make HVAC repairs, including but not limited to: RTUs, PTACs, VTACs, CRAC, and proper disposal of hazardous materials in accordance with local, state and federal EPA guidelines.
¨ STRUCTURAL: Must be knowledgeable and capable of independently identifying and troubleshooting problems, which may include directing or overseeing others to make structural repairs, including but not limited to: minor carpentry, sheet rock, and façade work
¨ PAINTING: Must be knowledgeable and capable of independently identifying and troubleshooting problems, which may include directing or overseeing others to make painting repairs including but not limited to: touch up vs full paint, proper materials, proper storage and proper disposal in accordance with local, state and federal EPA guidelines.
¨ EXTERIOR: Must be knowledgeable and capable of independently identifying and troubleshooting exterior related conditions, which may include directing or overseeing others to make repairs or updates to exterior conditions or facilities, including but not limited to: irrigation, tree and vegetation requirements, pool maintenance, hardscape surfaces, roofing
¨ Conduct daily inspections of community grounds and interior areas to identify maintenance needs and determine maintenance priorities. Evaluate and document a plan or course of action for issues observed. Immediately address deficiencies to ensure community is safe, clean and comfortable for residents, team members and guests.
¨ Participate in and provide input for the preparation of agreements with outside vendors and utilize Yardi’s work order software system to initiate, track, and manage such agreements including, service and equipment warranties, payments, and other maintenance and repair issues throughout the community.
¨ Ensure that all community vehicles are maintained properly, timely, and kept in good working condition. Administer and maintain related records, including records for those who have the required credentials to drive community vehicles as needed.
¨ Ensure the community’s compliance with all on-call requirements for emergency repairs or maintenance issues.
¨ Conduct pre-move out inspections of all apartments on notice to vacate and evaluate the work needed to be performed to make the apartments “rent ready.” Ensure all apartments are prepared to rent-ready status within 5 business days of being vacated. The work that the Manager may need to ensure is performed to make an apartment rent ready includes, but is not limited to:
o flooring replaced or cleaned as needed,
o cabinets and woodwork finished properly,
o windows and screens cleaned and replaced if seals are broken,
o leaky faucets or toilets repaired or replaced if necessary,
o complete interior touch-up or full paint,
o appliance repair or replacement,
o removal of old caulk and application of new caulk on all sinks, toilets and showers, solid surface countertops,
o repair or replace light fixtures and electrical cover plates,
o clean and repair A/C units,
o replacement of window treatments
¨ Work with and provide assistance to corporate construction, property maintenance, property management and/or interior design teams by supervising the work of outside contractors performing physical plant contracted services.
¨ Work with and oversee vendors/contractors to maximize quality of work at reasonable market rates.
¨ Track, maintain, and purchase appropriate shop stock inventory for the community and resident work orders in adherence to operating budget and corporate guidelines.
¨ Ensure maintenance areas remain clean, free of clutter, and organized.
¨ Ensure all required work logs are maintained and accessible to all team members regarding maintenance of the community, including but not limited to: hot water temp, generator charge checks, SDS, fire extinguisher, fire drills, emergency call system
¨ Understand and ensure compliance that all company, state, local OSHA and federal health, safety, building, fire and insurance codes and requirements are always met or exceeded.
¨ Ensure that all containers of hazardous materials and medical waste are appropriately labeled, properly stored, and safely disposed of.
¨ Participate in community and resident programs including a Safety Committee, an Infection Control Committee, and a new resident orientation program.
¨ Actively participate in all community monthly/quarterly/annual drills.
¨ Regularly review, suggest improvements to, and ensure compliance with all required training, orientation, meetings, and programs offered by employer.
¨ Encourage teamwork through cooperative interactions with co-workers.
¨ Train new and existing staff in community, state, and federal required policies and procedures.
¨ Responsible for hiring, scheduling, and supervising the maintenance team in accordance with community operating budget. Also responsible for conducting performance reviews and completing and maintaining all related employee paperwork.
¨ Demonstrate a positive and professional image through daily actions and dress. Professional in all forms of communication, including but limited to: email, phone calls, video calls, and texts.
¨ Demonstrate the ability to perform work well under pressure in an agile, fast-paced environment.
¨ Demonstrate excellent time management skills with the ability to change tasks quickly and frequently, to cope with interruptions while performing all work completely and on a timely basis.
¨ Perform other duties that may be set by the Company or specified by the Executive Director.
¨ Must be medically able and willing to wear a NIOSH-approved tight-fitting respirator (N95 mask), if required by and in accordance with federal or state regulations or Spectrum policy.
Manager, Maintenance Educational Requirements:
¨ High School diploma or equivalent required
¨ Valid driver’s license required
¨ HVAC certification preferred
¨ OSHA 10 certification preferred

Manager, Maintenance Work Experience:
¨ A minimum of 5 years in a property maintenance position.
¨ Advanced knowledge of building systems such as HVAC, plumbing, electrical, and mechanical.
