Job Description

THIS IS A CITYWIDE EXAMINATION


Under direct supervision, the Legal Process Clerk performs detailed clerical work involving the processing of legal actions The Essential Functions of this job may include but are not limited to the following. According to Civil Service Commission Rule 109, the duties specified below are representative of the range of duties assigned to this job class and are not intended to be an inclusive list.


1. Reviews, processes, routes, and files records such as marriage licenses, fictitious name statements, etc. and retrieves legal documents such as court orders using various physical and digital filing systems.

2. Responds to in-person, telephone, and online inquiries from the public, attorneys, litigants, witnesses, victims, police and other law enforcement agencies; provides information regarding court and office procedures to people within and outside the agency, and the general public; answers questions pertaining to regulation requirements of documents.

3. Checks physical files and utilizes computer programs to carry out research on records and locates requested information.

4. Assembles legal papers and case files for review, legal proceedings, and record keeping.

5. Files motions and other legal papers in Superior and Municipal Courts; makes entries in the Register of actions; maintains registers of cases bound over to Superior Court.

6. Obtains records of prior convictions and imprisonment of felons by contacting criminal justice agencies; reviews and routes motions to expunge, seal and destroy records.

7. Types forms, memoranda, correspondence and notices and performs data entry functions; scans and digitizes documents for record keeping.

8. Examines legal documents to determine acceptability for recording or filing; assesses and collects fees and taxes.

9. Distributes mail and delivers legal papers to courtrooms.

10. Tallies and records dispositions of cases.

11. Complies by departmental customer service policies in dealing with the general public.


Nature of work: The nature of this work is that some positions may require considerable public contact and this work may include carrying and lifting heavy file and/or storage containers that could weigh up to 25 pounds.

Minimum Qualifications

One (1) year (equivalent of 2,000 hours) of verifiable experience processing and/or researching documents in accordance with laws, codes and/or regulations in one or more of the following areas: legal, governmental, real estate or financial services environment.
