We are seeking an Installation Scheduling Coordinator with strong administrative, scheduling and project management skills, and a true passion for great customer service.

This position protects and advances our brand by helping to ensure we provide a 5-star customer experience by supporting the on-time and error-free installation of our replacement window and bathroom remodeling services, and timely, responsive communication with our clients.

The Installation Scheduling Coordinator leverages the resources of multiple departments and partners with Sales and Installation staff regarding jobs in progress. This role relies heavily on the use of technology to manage schedules, internal and external communications, and deadline management.

Essential Job Functions:

Scheduling Coordination

  • Update the customer on scheduled measures and update information in our CRM, salesforce.
  • Review scheduled measure, service and install appointments for accuracy.
  • Upload measure packets and job status in our CRM after Installation Manager approval process is complete.
  • Process modifications at measure and any unknown costs at time of install.
  • Ensure Company Cam software is utilized by project managers and installers and updated in our CRM.
  • Enter sales items in our CRM.

Installation Administrative Support

  • Make install packets, ensuring all forms are accurate for the job.
  • Update customers on install and manage post install follow-up.
  • Assists in setting installation appointments with the Installation Manager.
  • Manage job completions received and uploaded.
  • Manage receivables not collected from install.
  • Process completion funding.
  • Manage action required process in our CRM from install to completion, sharing ownership with Installation Manager.
  • Update our CRM with install dates.
  • Process labor bills, including uploading to our CRM.
  • Create and manage priority services.

Post Install Follow-up

  • Manage remake request from install to accounting.
  • Manage flow and upload of customer settlement credits.
  • Manage flow and upload of legal settlement documentation.

Other Duties

  • Maintain departmental KPI's for installation excellence for assigned branch.
  • Updates weekly crew count with Installation Manager.
  • Assist Warehouse Manager, as necessary.

Qualifications/Education:

  • 3+ years prior experience in office management, scheduling coordination, or customer service in the home improvement, replacement contracting, home services, roofing, siding, replacement windows, or related industry.
  • High School Diploma or equivalent
  • Strong written and verbal communication skills
  • Ability to work autonomously.
  • Ability to problem solve and collaborate with others to reach resolutions.
  • Attention to detail.
  • Accurately type 40+ words per minute
  • Proficient using Microsoft Office and Online Systems/CRMs (i.e., Salesforce.com)

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
