Inpatient Administrative Coordinator

Under the general direction of the Program Manager of Clinical Operations, the General Medicine Inpatient Administrative Coordinator (IAC) will be embedded with the inpatient General Medicine teams. S/he will work under the direction of physicians, advanced practice providers, members of the interdisciplinary care team, and directly with patients and families to coordinate a variety of administrative tasks. The IAC will play an essential role in the coordination of patient care, with an emphasis placed on efficient and exemplary service in a high-volume inpatient setting. The IAC is expected to effectively organize priorities, complete tasks proactively, and manage confidential patient information.

  • Facilitate smooth, safe patient transitions into the inpatient setting

o Ask a patient’s pharmacy to fax his or her medication list.

o Obtain and upload patient records from outside hospitals

o Upload radiology imaging into MGH patient record.

  • Aid Medical Team with patient throughput

o Call other services to determine whether a procedure is scheduled today.

o Arrange meetings of care teams.

o Attend multidisciplinary rounds for assigned teams when feasible.

o Proactively check-in with physicians daily.

  • Support safe transitions from the inpatient to outpatient care

o Develop a basic knowledge of public and private insurance coverage for inpatient and ambulatory services and medications.

o Review discharge medication list and initiate prior authorization process for medications to ensure completion prior to discharge.

o Facilitate specialty pharmacy requests and arrange for timely delivery of medications.

o Coordinate with patients and caregivers the delivery of medications and supplies prior to discharge.

o Interact with patients and families at the bedside to ensure patients are scheduled for infusions, transfusions, and office visits in appropriate timeframe prior to discharge.

o Contact patients at home to schedule appointments for patients who were discharged from the hospital on a weekend.

o Troubleshoot within a complex system to resolve scheduling issues and escalate concerns about gaps in follow up.

o Communicate with patients, families, and Case Management to troubleshoot issues with co-pays, medication deliveries, and transportation.

  • General duties

o Work with residency program and departmental leadership around process improvements for the General Medicine services

o Provide cross coverage for other team members as needed.

o Maintain confidentiality and privacy consistent with HIPAA guidelines.

o Develop and maintain relationships with Operations Associates, Resource Nurses, members of care team and units

o Respond promptly to all pages and emails

o Other tasks as assigned

  • Associates or bachelors degree preferred; minimum of high school diploma or equivalent required.
  • 1-2 years experience in healthcare or new grad with demonstrated interest in healthcare.
  • Ability to engage with a diverse population of patients, families, visitors, providers and colleagues with multiple personality types.
  • Demonstrated ability to learn and understand complex systems
