Job Description


The I-9 Compliance Specialist will oversee the I-9 verification process at Shopify and will be the subject matter expert in the area of I-9 employment eligibility verification, as well as I-9 compliance requirements and initiatives. The position's primary responsibilities include coordinating and managing Form I-9 and E-Verify processes, ensuring compliance with federal and state laws/regulations, and working closely with various teams to research and resolve related issues and lead I-9 related projects such as I-9 audits.

Specific responsibilities include:

  • Managing the Form I-9 process from start to finish for all new hires and transfers

  • Following federal and state guidelines to verify the accuracy of completed I-9 forms, supporting documentation and employment eligibility of all US employees

  • Acting as a subject matter expert by providing guidance on I-9 policies, procedures, and regulations, creating an internal I-9 manual, and staying current on all government and/or regulatory requirements in order to educate internal partners

  • Monitoring employee compliance by tracking document expiration dates, processing notifications to employees approaching expiration, taking appropriate action when employment eligibility issues arise

  • Managing and completing I-9 Reverifications, as needed

  • Managing E-Verify issues

  • Assisting Talent Admin team members with inquiries regarding validity of I-9 supporting documentation and any procedural questions

  • Managing I-9 Audits and all I-9 Reverification projects for Shopify

  • Providing I-9 compliance tracking, review and resolution of outstanding I-9 matters

  • Liaising with Legal and Talent BPs to communicate, investigate, and address concerns regarding I-9 regulatory compliance

  • Maintaining I-9 audit and E-Verification results in our internal HR system applications to track compliance and identify exceptions

  • Finding opportunities to streamline business processes and recommend procedural changes


Qualifications

  • Experience with I-9 administration and management in a remote work environment is highly preferred

  • Knowledge of I-9 compliance and E-Verify regulations

  • Knowledge of USCIS guidelines

Bonus experience:

  • Experience working with Workday
