The Human Resources Assistant is a member of a growing team of HR consultants at Arabella Advisors who provides expertise-based services to a suite of non-profit organizations with whom Arabella works, primarily the New Venture Fund. In this role, you will execute the payroll, new hire and termination processes for Arabella Advisors’ nonprofit affiliates. Additionally, you will provide exceptional service to clients and internal stakeholders, as well as coordinating, triaging and escalating external client communications via a case management system. Essential Responsibilities
  • Payroll and New Hire Support
  • Supports payroll administration, including aggregating employee changes and terminations, collecting documentation, updating HRIS and ensuring stakeholder adherence to payroll timeline
  • Facilitates onboarding processes for new client staff, executing a seamless, professional and best-in-class experience
  • Processes documentation for new employees, change requests, terminations, and maintains associated data flow systems
  • Provides exceptional daily service to client staff, communicating quickly, effectively and efficiently
  • Supports triage, tracking, tier 1 support, and assignment for case logging system
  • Assists with ad hoc data requests to support management and financial requests, including HRIS, Salesforce, timekeeping, and training systems.
  • Proactively suggests process and systems improvements to senior team members
  • Maintains employee electronic files in compliance with policy and legal requirements. Maintains employee confidence and protects confidentiality of personnel data
To be successful in this role you’ll need:
  • Minimum two years of work experience (internships and work experience combined), or a Bachelor’s Degree
  • Some payroll experience. Preference for candidates with experience using the UltiPro platform.
  • High level of technological proficiency, particularly with Microsoft Office, Salesforce and general cloud-based systems.
  • Exceptional written and oral communication skills.
  • Strong entrepreneurial spirit and resourcefulness in problem solving
  • Superior attention to detail.
  • Outstanding organization and prioritization skills - ability to manage multiple demands, projects and deadlines in a fast-paced environment.
  • Passion for philanthropy, nonprofits, foundation operations and management.

Working with UsWhile this position must be based in Chicago, IL, note that due to COVID-19, all Arabella Advisors' offices are closed, and we remain a remote-first organization until further notice. We have a strong firm culture rooted in collaboration and in-person interactions between colleagues. To that end, once our offices reopen it is our expectation that all staff will generally work from the office according to a schedule agreed upon with their supervisor. Our base salaries are based on a blend of similar sized organizations from different sectors, including nonprofits, foundations, and professional service firms. They are also based on local market rates and differentiated by geography.
