Job Description:

The Human Resources Assistant maintains employee records and supports the complex world of payroll, employer law, and taxes. This position will work closely with the Human Resources Administrator in processing documents and requests relating to employee pay, updating payroll changes for employees, coordinating with Accounting and our corporate headquarters in payroll processing, as well as regularly reconciling payroll accounts. The HR Assistant will also support the People Operations team by coordinating and tracking the progression of team projects, documenting meetings, and assisting the team as needed.


Essential Duties and Responsibilities:

  • Coordinate detailed communication to corporate headquarters on information related to weekly hourly payroll and bi-weekly salaried payroll for multiple states.

  • Review employee time-cards and leave requests, following up with managers as needed.

  • Maintain accurate employee records, both within the HRIS system and storage in paper electronic files.

  • Manage employee documentation, including transmission and storage of sensitive data.

  • Respond to employee inquiries and requests for assistance.

  • Support the processing and administration of employee benefits including insurance benefits, retirement plans, and fringe benefits.

  • Maintain technical competency in employment, HR, benefits, and payroll laws.

  • Maintain strict confidentiality of all payroll, employee, and HR records.

  • Assist the Human Resources Administrator in projects relating to employee benefits, data, administrative and other tasks.

  • Review prepared payroll files for accuracy and work closely with Accounting to reconcile monthly payroll related accounts.

  • Organize and facilitate the employee onboarding process, including scheduling new hire orientation meetings, meeting with directors, and coordinating with the hiring manager to plan the first week’s schedule. Also responsible for helping to collect necessary new hire paperwork.

  • Assist the Director of People and Operations in coordinating HR projects as needed.


Skills and Qualifications:

  • Exceptional verbal and written communication skills.

  • Excellent time management and organizational skills.

  • Ability to comfortably operate in a fast-paced environment with shifting priorities.

  • Ability to maintain and process detailed documentation.

  • Decision-making, problem resolution, and creative thinking skills.

  • Computer proficiency, including spreadsheet, slideshow, and word processing.

  • Strong, clear, and diplomatic skills in communicating with co-workers and outside parties.


Education/Experience:

  • 1 year of office and/or administration experience required.

  • 2 years of Human resources experience, or equivalent professional certification, required.

  • Payroll, accounting, or tax experience strongly preferred.

  • Experience in engagement, recruitment, and/or reporting a plus.

Hours:

Monday through Friday, 8:30am - 5:00pm, 40 hours per week.


Compensation:

Hourly full time. We evaluate our compensation offerings according to market medians and internal pay equity.

The pay range starts at $18.00 per hour, with the range increasing DOE.
