Job Description

YMCA International Services is a unique branch of the Y of Greater Houston and seeks to meet the needs of Houston’s significant refugee and immigrant communities. We provide comprehensive programs that focus on building human assets and fostering self-sufficiency. The YMCA International Services seeks one full-time Immigration General Office Clerk to carry out administrative tasks in the Immigration Legal Department. Applicant must be fluent in English and Spanish.

The Administrative Assistant’s job duties will include the following tasks:

  • Manage front desk phone line and answer incoming department phone calls.
  • Collect and open incoming mail and enter into database for attorneys and legal assistants.
  • Prepare outgoing mail including photocopying, addressing, sealing and posting materials.
  • Greet clients at the front desk, answer client questions and direct them to appropriate department staff.
  • Timely notify staff of visitors arrival via computer/telephone; follow up w/staff if client not seen.
  • Manage and receive payments from clients for services rendered.
  • Scan and create digital copies of old case files.
  • Compile, organize, enter, and track data for detained adults who receive legal services.
  • Assist the program staff in submitting timely data reports to funders.
  • Work closely with stakeholders to maintain a positive working relationship, and ensure that the clients' needs are met.
  • Maintain department files keeping them properly filed, organized, and accessible.
  • Assist with translating documents from Spanish to English.
  • Assist attorneys and legal assistants in contacting and notifying clients of upcoming court hearings, collecting documentation, and with other routine correspondence.
  • Assist with scheduling client appointments, obtaining legal and supporting documents.
  • Assist attorneys by preparing for legal intakes, court filings, and other related administrative tasks.
  • Occasionally drive to the area detention centers for client visits, document retrieval, court filing.
  • Participate in regular peer and supervisor review meetings and trainings.
  • Perform all other duties as needed and/or as directed by Supervisor.
  • Perform all other duties as needed, directed and/or assigned including food pantry distribution duty.
  • Must be fluent in English and Spanish.
  • High school diploma (required); Bachelor’s Degree preferred; paralegal training or experience in a law office helpful.
  • Proficient in using Microsoft Office; must be comfortable with quickly learning new computer programs.
  • Must type a minimum of 50 words per minute.
  • Must be highly motivated, detail-oriented and able to work in a fast-paced environment; have great organizational and communication skills and be extremely flexible.
  • Must be collaborative and team oriented.
  • Must have excellent time-management skills and ability to prioritize tasks.
  • Position requires a clean driving record, reliable transportation, and applicable auto insurance. Candidate must be willing to commute occasionally to detention facilities (45 minutes to 2 hours away).
  • Report suspicious and inappropriate behaviors and policy violations.
  • Follow mandated abuse and incident reporting requirements.
  • Meet timelines and deadlines related to supporting systems and employee compliance.
