Summary:
We are looking for a responsible Administrator to organize our company’s day-to-day operations. Your job will be to provide clerical support to our managers and employees and coordinate all daily administrative activities. The Administrator should be highly organized and able to multitask with ease. The Administrator’s main tasks include managing office equipment, booking meetings and events, arranging travel and distributing mail. Our ideal candidate has experience as an Office Administrator, Secretary or relevant administrative role. You should be familiar with office software (e.g. MS Office), including word processors, spreadsheets and presentations. Ultimately, a successful Administrator should be able to ensure our office procedures run smoothly.
Primary Responsibilities:
- Assisting the Tax Partners and other employees with Administrative tasks
- Generate Billings & Reports
Administration:
- Assemble tax returns & source documents
- Primary contact for administrative request from clients
- Project Management & follow up
- Assist in the management of the Tax Partners calendar
- Compose and type routine correspondence
- Set up tax appointments, arrange for meetings and conferences, as assigned
- Part of a team rotation to answer phones
- Set up new clients and maintain electronic master client list with relevant contact information
- Send out tax organizers
- Willingness and ability to learn and adapt to new accounting software
- Track project deadlines and deliverables
- Data entry
- Organizing/Filing Paperwork
- Client outreach, including thank you notes, phone calls, emails, and more
- Event management
- Create and send welcome packages to new clients
- Personal errands
- Create and send invoices
Working Conditions:
- Overtime hours required during Tax "busy season" from February 15 to April 15; in excess of 40 hours per week with Saturday work during this time
- From April 16 – February 14 work week is Monday through Friday 8:30 am – 5:30 pm (with little to no overtime)
Job Qualifications:
- Minimum 3+ years’ experience in a similar role working in a Professional Services (Legal or Accounting) firm setting
- College degree preferred, not required
- Strong proficiency in Microsoft Word, Outlook, Excel, Adobe and ability to quickly learn new software/technology
- Ability to be a team player, offer assistance to others, strong judgment and decision making skills in a fast-paced environment with frequently-shifting priorities
- Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision
- Strong verbal, organizational, and interpersonal skills
- Executes assignments of a confidential nature
