Job Description
Title: Financial Assistant – Payroll and Accounts Payable

POSITION SUMMARY:
Under minimum supervision, ensures accurate accounting records for the cash disbursements of the health center in accordance with established policies and procedures. Candidate will work closely with the Payroll and Benefits Manager and the Accounts Payable team. Duties include performing a variety of accounts payable and payroll tasks that require some knowledge of general accepted accounting principles.

ESSENTIAL FUNCTIONS:

Payroll: Assist the Payroll & Benefit Manager with the following under minimal supervision.
  • Process Payroll when needed.
  • Run and update payroll and benefit reports.
  • Enter payroll and benefit changes.
  • Enter payroll deduction adjustments.
  • Help out with special projects during the year.
  • Assist with annual open enrollment.
  • Verify 1095-C’s and fiscal year-end projects.

Accounts Payable: Work with the AP Accountant for the processing and verification necessary to ensure accurate payment of legitimate invoices on a timely basis.
  • Sorts incoming invoices and check requests.
  • Reviews invoices and check requests for satisfactory payment approvals.
  • Matches invoices to packing slips and purchase orders verifying accuracy.
  • Enters invoices & check requests into the general ledger.
  • Files and maintains paid invoices alphabetically.

Additional Qualities:
  • Ability to perform detailed work with numerical data and to make mathematical computations rapidly and accurately.
  • Ability to follow oral and written instructions as well as working independently.
  • Ability to establish and maintain effective working relationships between various departments and outside vendors/contacts.
  • Must be Proficient in all Microsoft Office programs, especially Excel.
  • Performs other employee duties to cover for staff absences.
  • Performs other duties as assigned.

Minimum Skill and Knowledge Requirements:
Duties necessitate knowledge of accounting and general business typically acquired through an associate’s degree and/or related work experience. Ability to maintain confidentiality. Excellent judgment is necessary in establishing priorities for work demands. Strong computer skills and knowledge of relevant technology. Must possess good organizational skills, strong communication skills, and be able to work independently and adapt to change.

Working Conditions:
Works in a busy community health center in a high crime, urban neighborhood. Long hours are frequently required to meet deadlines.

Physical Requirements:
Mostly sedentary with some walking within office and to and from other departments. Interruptions are present and can be disruptive to work flow. Stress is present due to high volume of work, diversified nature of activities and frequent crises and deadlines. Visual acuity sufficient for frequent reading. Hearing acuity sufficient for holding conversations with or without audio devices.
