SummaryThe Executive Director of Advancement Services leads the team charged with managing the alumni and donor database (Slate for Advancement), including data analytics and campaign reporting; prospect development; gift and pledge processing; records management; fund management; and stewardship reporting. The Advancement Services team effectively provides the backbone of the fundraising and alumni relations enterprise for the university. The Executive Director provides leadership and manages all advancement services. The Executive Director maintains close contact with key members of the development team, alumni relations staff, as well as fellow cabinet members. The Executive Director is responsible for assuring high standards of quality, consistency, and accuracy of alumni, donor, and prospect-related information whether that is biographic/demographic information, gift/pledge commitment data, information needed for the comprehensive donor stewardship program, or compiled and analyzed as a report for use by university management.
Duties and ResponsibilitiesManagement of the Office of Advancement Services
  • Supervise a staff of five direct reports who are responsible for maintaining alumni and donor records, processing pledges, collecting and acknowledging payments and gifts, cultivating strong, long-term relationships with donors, compiling information for mailings, solicitations, managing the prospect pool and researching new prospects, and preparing and analyzing data for management reporting.
  • Ensure adherence to internal policies and procedures, as well as CASE and Apra standards, relating to reporting requirements, gift accounting, and data entry to maximize fund-raising and friend-raising.
  • Uphold the Donor Bill of Rights and other ethical standards set forth by CASE.
  • Develop annual comprehensive Advancement Services Operating Program plan to achieve goals set in division plan. Monitors the department budget; hires, trains, supervises, manages, and evaluates staff.
  • Manage and prioritize projects by coordinating information requests and monitoring current and upcoming or anticipated needs.
  • Oversee Prospect Management and Research staff and assist with the development of cultivation strategies and prospect identification as needed.

Database Administration, Reporting, Maintenance, and Analysis
  • Administration of the alumni and donor database Slate for Advancement.
  • Oversee wealth screenings and data appends.
  • Develop and prepare KPI reports for university management (such as Progress vs. Goals reports, Campaign Attainment reports, Board reports, Development Team performance indicators, etc.) utilizing a variety of software products including Slate for Advancement and Tableau.
  • Prepare survey responses relative to alumni and fundraising for VSE reporting, JAA, AJCU, Business Week, etc.
  • Develop and conduct Slate for Advancement user training for the division.
Planning and Support of Division Programs
  • Alumni Relations- Event Management in Slate
  • Campaign Planning and Attainment Reporting, and Progress vs. Goals for fiscal year including a comparison to previous years through same time frame as well as a forecast of total anticipated cash received.
  • Development / Carroll Fund
    • Support fundraising efforts of development officers, annual fund staff, and student calling center by providing the most accurate and up-to-date database of information regarding donors, alumni, their giving history, and biographic/demographic information.
    • Facilitate the use of screening results for best results in fundraising and prospect prioritization.
    • Work collaboratively with Annual Fund staff and other stakeholder constituency groups.
  • Donor Stewardship
    • Ensure an endowment report is submitted annually to major donors.
    • Recognize, appreciate, and personally acknowledge gifts and commitments in a timely and appropriate manner, making use of parties ranging from the university president to the VP for University Advancement, to other VPs, Deans, Directors, and Faculty.
    • Coordinate the mailing list for Holiday cards from the university president, birthday cards for major benefactors, exclusive access for major prospects/donors.
Development of Creative / Applicable Uses of New Technology
  • Maintain awareness of changes, improvements, advancements in Slate for Advancement, and in new software tools available at the university such as Tableau.
  • Investigate and develop available Tableau, Slate for Advancement, or other resources that will serve to summarize key performance indicators. Create those reports.
  • Create visualizations and reports in Tableau that address the needs of the Advancement Division.
  • Develop processes and/or applications of new or emerging technology that will assist management in running a stronger, more effective division.
  • Serve as the expert on Slate for Advancement.

Required Qualifications
  • Bachelor’s degree
  • Three years of experience in advancement work preferably in higher education.
  • Demonstrated philanthropic values and a commitment to service, superior written and oral communication skills, exceptional interpersonal skills and ability to work collaboratively with all levels of staff, volunteers, donors, and prospective donors, outstanding organizational skills and ability to manage multiple tasks simultaneously, computer proficiency, professional demeanor, a strong work ethic, enthusiasm, and confidence.
  • Knowledge of database management and Microsoft Office is expected.
  • Demonstrated ability to speak and write persuasively about higher education and a deep understanding and appreciation of the Jesuit Catholic tradition are critical.
  • Interest in understanding and supporting John Carroll’s mission to inspire individuals to excel in learning, leadership, and service in the region and in the world.

Preferred Qualifications
  • Knowledge of John Carroll University is highly beneficial.
  • Knowledge of database management and Microsoft Office is expected.
  • Prior management experience preferred.

Normal Working Hours and Conditions University core business hours are generally 8:30 am – 5:00 pm. However, this position will require work to be performed outside of normal business hours based on department operations.
Physical RequirementsPrimary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other office locations and to verbally communicate to exchange information.
