Job Description

UrgentPoint is a startup looking to disrupt healthcare globally. We are in growth phase and seeking an Executive Assistant to support our Executive Leadership team. Some of the most important success factors in this position include a great attitude with an impeccable attention to details; the ability to orchestrate and coordinate complex scheduling, internal communications, reporting & tracking; ability to identify areas of process and operations improvements; and an understanding of the importance of quick response or turnaround time, and the value of excellent customer service.

We are located in a gorgeous office in Playa Vista and we are looking for onsite candidates at this time. We believe that magic happens when a fantastic mix of really smart folks sit in the same room to tackle an industry problem.

RESPONSIBILITIES AND DUTIES:

  • Employs excellent analytical skills, good judgment, initiative and follow through on the most intricate details of projects
  • Maintains Executives’ calendar by planning, coordinating and scheduling meetings, conferences, teleconferences, and complex traveltes effectively in active listening, following directions, collaborating, is diplomatic, dependable, motivated, reliable, self-directed and works well as a team member and under pressure
  • Maintains an updated and accurate company calendar as well as schedules, appointments, and office all-hands meetings as requested
  • Communicates with parties as needed on behalf of management to help facilitate day to day business matters
  • Ensures management is informed of deadlines and problems
  • Possesses a proficiency with word-processing and spreadsheet programs including ability to set up and maintain email systems, file-sharing systems, and calendars, as well as proficiency with statistical software, publishing software, and databases
  • Engages in event planning, processing expense reports, and taking minutes in leadership, Executive teams, and Board of Directors (B.O.D.) meetings
  • Produces information by transcribing, formatting, editing, retrieving, copying, transmitting to identified recipients
  • Maintains office supplies, anticipates needed supplies; orders supplies, verifies receipt of supplies
  • Maintains strictest confidentiality, protects operations by keeping information confidential and adhering to all HIPAA guidelines/regulations
  • Possesses extensive computer expertise including proofreading, correspondence, drafting letters and documents, collecting and analyzing information and discernment for what the CEO and President need to address.
  • Serves as a liaison between multiple UrgentPoint organizations and lines of business.

REQUIREMENTS:

  • High School Diploma/GED (required)
  • Associate or Bachelor degree (preferred)
  • Valid unrestricted California Driver’s license & auto insurance
  • Computer Skills (Microsoft, Google, Excel, Word, etc.)
  • Medical Terminology familiarity (preferred)
  • 2 years experience in a fast-paced field
  • Proficiency in oral and written communications
  • Strong organizational skills with meticulous attention to detail
  • Ability to participate as a member of a team; reliable and punctual
  • Ability to work autonomously, as well

WORKING CONDITIONS:

Exposure to high pressure situations due to multiple calls/situations. We are in growth mode and with that comes the need for each hire to already possess the ability to juggle projects and tasks, using their discernment to prioritize, re-prioritize etc. Uses standard office equipment such as computers, phones, photocopiers, filing cabinets, fax and scanning equipment. Works in an office environment. The noise level in the work environment is usually moderate. May travel between locations.

Pay: From $40,000.00 per year
