CareerSource Central Florida, the second largest workforce board in Florida, is looking for a dynamic, innovative Executive Assistant to join our amazing CSCF team.

The Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the President. The Executive Assistant also serves as a liaison to the internal staff; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. This position requires the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Essential Functions:

Performs a broad variety of administrative tasks for the C-suites including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and

agendas; and compiling documents.


Plans, coordinates and ensures the C-suites’ schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the C-suites’ time and office. Works closely and effectively with the C-suites to keep them well informed of upcoming commitments and responsibilities, following up appropriately.


Communicates directly, on behalf of the C-suites, with Board members, community and business leaders, political figures, and others. Provides a bridge for smooth communication between the President's office and internal departments; demonstrating

leadership to maintain credibility, trust and support with staff.


Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the C-suites’ ability to effectively lead the company.


Researches, prioritizes, and follows up on incoming issues and concerns addressed to the C-suites, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated.


Coordinates weekly administrative center meetings at the downtown location and serves as the office coordinator.

QUALIFICATIONS:

Associate’s degree (or equivalent coursework) from an *accredited institution in business administration, or related discipline; supplemented by years five (5) years’ experience supporting executives; or an equivalent combination of education, certification, training, and/or experience. Minimum qualifications for combination:


  • High School Diploma or GED combined with at least seven (7) years in supporting executives
  • Bachelors or equivalent coursework from an accredited institution in a related field combined with at least three (3) years in supporting executives.
  • Must pass Level 1 background check and pre-employment drug test. In order to be reimbursed for travel, must provide proof of current Florida Drivers’ License and automobile insurance.
