We are the world’s leading publishing company for the visual communications industry. In everything we do, we are committed to artistry, innovation, and quality. We are an independent NYC publisher of design, advertising, photography, and illustration art books and quarterly journal magazines.

Graphis is seeking a talented, detailed Part-Time Executive Assistant to the CEO with strong organizational skills, excellent communications skills, data entry expertise, and keen attention to detail for project management, correspondence, and general administration support. The ideal candidate will provide top-level assistance.

Responsibilities

  • Manage the CEO’s calendar, correspondence, and task list
  • Aid executive in preparing for meetings, arranging conference calls, and travel
  • Monitor and prioritize incoming communications — phone and email — on behalf of the CEO
  • Responding to emails and document requests on behalf of the CEO
  • Ability to draft well-written, grammatically correct communications on behalf of the CEO
  • Represent the company and CEO with the highest degree of professionalism in communications with other staff, and externally with talent, clients, partners, and other stakeholders
  • Manage highly sensitive, confidential information with the highest level of discretion
  • Work on special projects, provide research, and support various ad hoc requests as needed
  • Track company data through book distributors
  • Track publication production timelines
  • Additional tasks as needed across our publishing operations

Qualifications / Requirements

  • Bachelor's degree or equivalent experience
  • A minimum of three years of experience in an executive administrative role, preferably in the publishing or visual communications industries
  • People-oriented, experience working closely with C-suite executives
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Resourceful, hands-on problem solver and team player with a demonstrated ability to work collaboratively, and a calm demeanor in all situations
  • Proficient with computers (Mac), Microsoft Office suite, Google Drive
  • Highly detail-oriented, have deadline awareness and the ability to prioritize projects and workload
  • Ability to take direction and execute specific outlined initiatives
  • Proactive “self-starter,” able to figure out what needs to be done even when not prompted
  • A sincere interest in the creative industries and publishing industry is a plus)
  • Event planning (both on-site and virtual) is a plus

Hours: 25 hours per week. May have an opportunity for full-time.

Schedule / Work Arrangements: This position is a mix of on-site work in our Midtown NYC office and remote work.

Pay: $50,000.00 - $60,000.00 per year
