Current Role:
Position Summary
The Executive Assistant is responsible for providing high-level administrative support to C-level executives within the company, including but not limited to managing schedules, travel, and expenses. The ideal candidate is highly organized, pragmatic, an expert multi-tasker and is not easily overwhelmed. Additionally, the Executive Assistant is comfortable interfacing with all levels of internal management and staff as well as outside clients, vendors and candidates in a fast-paced environment. This role maintains and protects highly confidential corporate information, is the first point of contact both internally and externally, and works independently with minimal supervision or direction.

Responsibilities

  • Manage schedules and executive priorities in an organized, efficient way. The ability to understand priority meetings and communicate quickly and thoroughly in an ever-changing environment is key.
  • Must be able to prioritize high volume workloads while ensuring priorities and deadlines are met in a rapidly changing environment
  • Contribute to leadership meetings by taking notes and tracking action items
  • Heavy calendar management, scheduling, and prioritization
  • Manage and coordinate logistics for meetings, events, and travel for executives supported and when necessary, members of their team
  • Ensure supported executives are prepared with all materials and information for meeting, events, and travel by compiling reports and/or presentations
  • Ability to communicate in a clear, concise manner with tact and diplomacy
  • Able to build relationships within all levels of the organization
  • Prepare expense reports utilizing Concur
  • Planning and coordinating onsite/offsite meetings
  • Assume other related responsibilities and special projects as required.

Qualifications

  • Minimum of 5 years of experience in a fast-paced environment, supporting C-level executives, strongly preferred
  • An enthusiastic nature and eager to help wherever you can, and do whatever it takes to ensure progress while being friendly, collaborative and approachable

  • Strong attention to detail, follow-up and follow through skills
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel; PowerPoint a plus
