Summary:

The incumbent will be responsible for providing efficient and quality administrative support for the Chief Investment Officer for Total Return Fixed Income by demonstrating proactive behaviors that provide leverage to the team. This administrative support role includes calendar management, booking travel, submitting expense reports and other administrative tasks as well as ad hoc projects utilizing the Microsoft Office Suite as required for this busy, dynamic executive.

The successful candidate will be a self-confident, pro-active and exceedingly organized! The role requires the ability to prioritize and manage competing demands.

Main Accountabilities:

  • Calendar and schedule management based on a practical understanding of the business priorities; ensures adequate preparation for meetings (pre-mail – incoming/outgoing)
  • Book travel and manage expenses for CIO
  • Manage logistics, including booking rooms, coordinating catering and technology services and arranging for guests as required
  • Assist in the preparation and distribution of reports and communications
  • Manages updates to team including distribution lists, calendar and activities
  • Provides customer focused service to internal and external clients
  • Responds to general inquiries via e-mail, phone, and face-to-face contact
  • Provide filing and necessary record keeping
  • Answers and directs telephone calls
  • Identifies potential problems and shifting priorities
  • Ad hoc projects including building and formatting PowerPoint presentations, creating and updating Excel spreadsheets and Word documents etc.
  • Salesforce contact and meeting entries/management
  • Other administrative tasks as required

Requirements & Skills:

  • 5-7 years administrative support or operations experience preferred
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), and able to quickly learn enterprise applications
  • Resourceful, innovative, highly service-oriented, and a team player
  • Energetic self-starter who is able to take initiative, work with limited supervision
  • Strong organizational and time management skills with the ability to multitask and work in a fast-paced and constantly changing environment
  • Strong attention to detail
  • Responsive, proactive and flexible
  • Strong communication and interpersonal skills with the ability to interact with a wide range of individuals in different situations requiring tact, diplomacy, judgment and discretion
  • Takes personal responsibility for delivering quality service
  • Resourceful at problem solving and continually improving job processes and procedures
  • Ability to work well under pressure
  • Knowledge of Salesforce, Oracle, Zoom and Concur is a plus
