Job Description

This position is expected to: review, prioritize, and draft Executive Director correspondence; draft documents; research and assemble data; prepare summaries; draft presentations; and attend meetings where management strategies are discussed and decisions are made. The Executive Director is a member of the Provost’s Leadership Council.

The ideal candidate will possess the ability to exercise good judgment in a variety of situations, exhibit perseverance and grace under pressure, and will demonstrate an enthusiasm for working with faculty and students from various disciples as well as a diverse group of non-university community stakeholders. They should be able to oversee development and implementation of efficient administrative systems and procedures. Strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities are required.

Job Summary

Under general direction, the Executive Analyst (EA) will provide direct executive management and analytical support to the Executive Director of the Manetti Shrem Museum (MSM), developing systems and approaches for managing information, projects, and communications for the office of the Director and the MSM team. The EA is the primary point of contact for external relations, including major donors, and a hub for team communication. This position manages sensitive and confidential information and coordinates complex projects. Personal initiative and a high level of analytical skill is required.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Experience providing administrative management support to a high-level administrator, preferably in a large, complex, multi-disciplined academic environment.
  • Experience managing dynamic electronic calendars and scheduling and coordinating large, complex meetings and special events.
  • Experience working with complex information, determining level and scope of impact, identifying risks, evaluating a range of approaches, and developing solutions within the context of priorities, time constraints, and available resources.
  • Experience using writing, editing, and proofreading skills to produce correspondence and other written materials that reflect the high standards and professionalism of an executive office, using correct grammar, spelling, and punctuation.
  • Experience using computer skills at applying various software programs (word processing, spreadsheets, databases, presentation software, etc.) to accomplish assignments.
  • Experience working with uncertainty, ambiguity, and constant change to support executives as they deal with these factors.
  • Professional experience and political acumen to handle sensitive or difficult situations diplomatically, to represent high level executives with tact and discretion and to work effectively and sensitively with constituents from diverse cultural backgrounds and perspectives.

  • Experience planning, coordinating and managing large complex public events in a large institutional setting.

  • Skills to manage a broad range of information and issues to relate the varying needs and viewpoints of the clients and support staff that uses them.

  • Knowledge of campus policies and procedures to interpret inquiries and requests to formulate appropriate action or response. Familiarity with campus-wide offices, administrative contacts, campus structure, and resources.
