Job Description Summary
Plans, oversees and manages events within and associated with the Memorial Union. The Events Planner and Site Manager is instrumental in meeting with clients to identify and plan for event needs including coordinating set-up, tear-down, technology, and catering needs. The Events Planner and Site Manager conducts building audits to ensure that cleanliness and safety standards are being met while providing excellent customer service to a wide variety of customers.
Essential Duties & Responsibilities (other duties may be assigned)
1. Oversee and coordinate services, equipment, technology, catering, facilities and staffing for the execution of events and for the smooth operation of the Memorial Union.
2. Provide functional supervision over Business Support Center staff. Assist with office coverage as needed.
3. Lead marketing efforts for Memorial Union event spaces and guest rooms.
4. Meet with customers to identify event logistics.
5. Collaborate and coordinate with Catering Services on catering needs for events.
6. Work a flexible schedule to manage building events with a priority on large and high-profile events which frequently occur during evenings and weekends.
7. Establish a management presence in the building by regularly patrolling the facility, observing activity, and engaging with customers.
8. Independently respond to inquiries and provide information on Memorial Union services, activities and campus events. Address complaints and resolve problems related to the facility, services, or events.
9. Make observations of the facility and identify maintenance and custodial needs. Process maintenance work orders and ensure completion.
10. Partner with Facilities Management on the oversight of room set-ups, cleaning and maintenance of public spaces and overnight guest rooms.
11. Oversee building security and lock-up as required. Maintain security for building keys. Assist in securing product and equipment inventories. Provide guest security when alcohol is being served.
12. Execute event set-ups and tear-downs as needed.
13. Develop and document standards for training purposes.
14. Oversee the organization of storage spaces within the Memorial Union.
15. Apply, interpret and enforce applicable Michigan Technological University and Memorial Union policies, procedures and guidelines.
16. Provide a daily report for the day’s activities, damages, critical incidents, facility needs, and special occurrences.
17. Assist the General Manager in preparing and monitoring the annual operating budget for the Memorial Union.
18. Ensure customer billing for reservations, services and equipment.
19. Assist customers in the event of an emergency and/or building evacuation.
20. Work with vendors to obtain high quality, cost efficient equipment and supplies.
21. Coordinate and oversee special facilities-related projects as requested, to include minor renovations or equipment replacement.
22. Monitor utilities and implement measures to reduce usage and cost. Identify, champion, and implement sustainability initiatives.
23. Operate University vehicles in a safe manner. Maintain clean vehicles. Report mechanical problems.
24. Apply safety-related knowledge, skills, and practices to everyday work.
25. Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.
Required Education, Certifications, Licensures (minimum requirements)
  • Associate’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Required Experience (minimum requirements)
  • One year supervisory experience.
  • Event Management Experience which includes coordinating logistics and directing event staff.
  • Experience being responsible for a physical facility.
  • Experience in a customer service environment.
  • Experience using personal computers and word processing and spreadsheet/database software.

Desirable Education and/or Experience
  • Bachelor’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
  • Experience supervising bargaining unit personnel.
  • Managerial experience in a hotel or conference center.
  • Experience working with sound systems and audio-visual hook-ups (VCR, DVD, LCD Projectors, microphones, overhead projectors, etc.)

LANGUAGE SKILLS:
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.

MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY:
Ability to apply common sense understanding to carry out basic written or oral instructions.
Work Environment and/or Physical Demands
Must be able to lift up to 50lbs.
Must be able to stand long periods of time.
