Job Description

Dynamic cosmetic surgery and dermatology practice in beautiful River North is looking for an Esthetics Coordinator with a can-do attitude to add to our growing team! You will be a working manager within our Esthetics department, which is currently a team of two. A minimum of 2-5 years in a Dermatology or Plastic Surgery setting with proven leadership experience is required.

Esthetic Patient Care Duties:
Perform esthetic procedures as allowed by the Medical Director and State law including but not limited to:

  • DiamondGlow microdermabrasion
  • Dermaplaning
  • PCASkin chemical peels / Proprietary chemical peels / ViPeels
  • Deep pore cleansing / minor extractions
  • Photodynamic therapy (PDT) for medical and cosmetic purposes
  • Blu Light therapy
  • Eyebrow shaping / tinting
  • Lash lift procedure
  • Basic waxing as required (upper lip, eyebrows, chin etc)
  • Combination procedures
  • Recommend skin care products or new products/services after reviewing patient Visia photos and notes
  • Document an accurate and detailed esthetic visit in an EMR
  • Able to enter a patient, schedule an appointment and create a quotation for services in NexTech EMR
  • Educate patients and staff on the proper use of cosmetic and skin care products
  • Respond to patient questions about esthetic procedures and products, as well as Cosmetic procedures performed at the office
  • Contact new patients the day after their treatment to ensure they have no complications or to answer questions
  • Cross-promote cosmetic procedures perfomed by esthetics to medical patients (and vice versa)
  • Utilize the Canfield Visia Skin Analysis system to consult with and track patient outcomes, sell appropriate products and services
  • Can color match make-up products
  • Maintain contact information for all sales representatives
  • Merchandizing products on shelves and keeping a tidy, well-stocked esthetic room
  • Inventory receiving – unpack, stock and add to inventory in EMR system
  • Manage product returns with retail store manager and associates
  • Address patient concerns/adverse reactions to esthetic services and/or products
  • Shadow providers in clinic to maintain knowledge and to ensure recommendations are in line with provider’s treatment.
  • Maintain licensure in the state of Illinois and complete appropriate continuing education credits.
  • Performs other duties as needed.

Administrative/Management Duties

  • Facilitate new/ongoing training for all esthetic employees
  • Esthetic recall management using NexTech, executed via phone, email or mail to ensure a high level of retention
  • Create and update the esthetics portion of the all-staff monthly meeting notes
  • Create bi-annual esthetic services comparisons report and review with Operations Manager, Practice Administrator and Director
  • Maintain, update and create esthetic patient handouts, office materials and training materials
  • Support the Retail Store Coordinator in scheduling staff training activities (in house or vendor sponsored)
  • Support the Retail Store Coordinator in scheduling lunch and learns with product and procedure representatives
  • Create work schedules for employees of the esthetic department, ensuring coverage at all times
  • Maintain accurate timecards/PTO requests for employees of the esthetic department
  • Oversee any necessary Microblading and tattoo (for ombre brow) inspections
  • Report Weekly, monthly quarterly with analysis as required by Operations Manager, Practice Administrator and/or Director
  • Perform Any NexTech database management required to run the department efficiently
  • Create and maintain any Standard Operating Procedures for the department
  • Ensuring estheticians are motivated and given tangible methods or promotions to hit and exceed bonus goals (individual and for the department)

Inventory

  • Ensure appropriate level of back bar stock at all times, and maintain log in NexTech
  • Review inventory stock weekly and monthly with Practice Administrator, Finance Coordinator and/or Director
  • Create purchase orders for approval
  • Inquire of vendors about sales/specials before ordering any supplies
  • Work with Retail Store Coordinator to analyze and evaluate skin care products and skin care lines to discontinue or onboard
  • Run and analyze quarterly product sales reports with Retail Store Coordinator to review with Operations Manager, Practice Administrator and/or Director

Marketing

  • Assist the Marketing Team with any/all marketing duties/activities as required
  • Work with Marketing Team to create ideas for monthly specials, esthetic events and outbound marketing to grow the Practice
  • Build professional relationships in the area local to the Practice (and/or beyond)
  • Attend in-office events (mandatory)

  • Computer proficient. Preferred with electronic medical records (EMR) knowledge
  • Proficient with medical terminology
