Job Description

BASIC FUNCTION:

Under the direction of Associate Superintendent or designee, perform a variety of professional activities involved in the research, collection, organization, analysis, preparing, processing, interpretation and reporting of District and school enrollment, testing, program and a variety of other data; have primary responsibility for the collection, organization, verification, and submission of California Department of Education mandated data submissions, including but not limited to CBEDS\CALPADS; utilize an assigned computer system to input and extract data, maintain automated records and generate a variety of statistical reports and documents.

REPRESENTATIVE DUTIES:

ESSENTIAL DUTIES:
Prepare a variety of narrative and statistical lists, records and reports related to student enrollment, testing, CBEDS, free and reduced meals, API, and assigned projects and activities; compare data and identify errors and discrepancies; make corrections, additions and modifications as needed.

Manage a variety of accountability-related data submissions to the California Department of Education. Working with schools and the coordinator of the district student information system, compile, organize, and verify multiple student, staff, and school databases. Activities will include the developing data collection policy and procedures for collecting data from school sites, training and supporting school personnel, data verification and quality control, working independently, and meeting strict deadlines.

Input, process and extract a variety of data in an assigned computer system; establish and maintain automated records and files; initiate queries, format data, develop spreadsheets and generate a variety of computerized reports and documents related to student test results, enrollment, assessment and programs; assure accuracy and completeness of input and output data.

Serve as a technical resource to District staff, administrators, school staff, outside agencies and the public concerning assigned projects and studies and related research, analysis and statistics; respond to inquiries and provide detailed and technical information concerning related findings, reports, data, information, practices, standards, requirements and procedures.

Contribute to the development and maintenance of accountability and data-quality related web pages on the District Intranet.

Assist in designing spreadsheets, statistical tables and associated graphics using appropriate computer software.

Collect, compile and assemble statistical data, including college, District, regional, state and national.

Maintain a high level of knowledge related to complex data retrieval systems and databases processing hardware and software.

Remain current and knowledgeable of high-level research techniques, reporting requirements and trends in institutional research.

Answer phones, take messages and assist the director as needed.

Communicate with personnel and various outside agencies to exchange information and resolve issues or concerns.

Provide support to District staff in researching and writing grants.

KNOWLEDGE OF:
A fundamental conceptual understanding of database mechanics and data verification and clean-up procedures.
Computerized data collection, management, manipulation and distribution requirements for analysis and reporting functions.
Data control procedures and data entry operations.
Survey instruments, techniques and methodology.
Report writing and statistical record-keeping techniques.
Principles, practices, procedures and techniques involved in the research, collection, analysis, interpretation and reporting of statistical data.
Current management information systems software including database, spreadsheet and graphic display.

Proper English usage, spelling, grammar, punctuation, editing and proofreading techniques.
Administrative office practices, procedures and equipment.
Computer programming languages.

ABILITY TO:
Operate a variety of office equipment including a copier, fax machine, scanner, computer and a variety of specialized software.
Utilize an assigned computer system to input and extract data, maintain automated records and generate a variety of statistical reports and documents.
Perform a variety of professional activities involved in the research, collection, organization, analysis, preparation, processing, interpretation and reporting of school enrollment, testing, program and a variety of other data.
Review and verify input and output data to assure accuracy and efficiency.
Assemble, organize and prepare data for records and reports.

EDUCATION AND EXPERIENCE:

Any combination equivalent to: bachelor’s degree in computer science, information technology, mathematics, psychology, statistics, social science or related field and two years experience involving information technology, quantitative statistical analysis, and presentation of data.

PHYSICAL DEMANDS:
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolong periods of time; to occasionally stoop, bend, kneel, crouch, reach and twist; to lift, carry, push and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.
