DISTRICT OFFICE SECRETARY/RECEPTIONIST beginning 5/23/2022.

SALARY: Range 7 on Classified Salary Schedule: $15.37 - $18.74 per hour based on education and work experience. If transferring from an existing position in the district, maximum placement is mid-point. (Based on 2021/2022 Salary Schedule; subject to change).

WORK YEAR: 260 Days, 8 hours per day. This position is benefited.

REPORTS TO: Executive Assistant to Superintendent

SUMMARY: Under direct supervision, perform clerical duties for District Office department(s), including one of more of the following: processing, recording, and/or maintaining confidential records and/or files; assisting parents, teachers, district/department staff, and/or visitors; responsible for answering and routing phone calls; word processing and/or entering data into several district office systems; ordering; scheduling; and/or performing other office-related functions for the district office.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. (Other duties may be assigned).

  • Provide customer service by greeting visitors, responding to inquiries, and/or assisting individuals on the phone or in person; take messages; make calls; route calls; and/or record messages as required by administration
  • Provide general clerical support to District Office Administrators. Handle confidential records appropriately
  • Send out reasonable assurance letters to substitutes on an annual basis
  • Process new employee paperwork including I-9 verification, direct deposit and new employee photos and badge printing
  • Scanning of records required for permanent storage
  • Assist public with online application system as needed
  • Assist with Board meeting preparation and serve as a backup to the Executive Assistant in administrative duties for the Board of Education.
  • Daily review of Volunteer Program to clear eligible volunteers
  • Create and maintain district wide open enrollment system
  • Direct Verification of Employment Requests to appropriate processes
  • Process student transcript and verification of education requests
  • Create requisitions through online system for department as requested
  • Order and maintain office, break room, and medical/first aid supplies. Assist in event planning for various building and district wide events.
  • Operate emergency alert/PA system.
  • Administer monthly testing of system.
  • Coordinate drills with security personnel.
  • Other duties as assigned

EDUCATION AND TRAINING: High school diploma or equivalent. Courses in bookkeeping, secretarial skills, and/or personal computers may be preferred.

EXPERIENCE:

  • 1-2 years front office secretarial experience in education or government, preferred.
  • Experience using personal computer applications. Experience with customer service in an office environment.

SKILLS, KNOWLEDGE, & EQUIPMENT: Interpersonal, English language, communication, clerical/secretarial, organizational, multi-tasking, general office, and typing skills. Basic math and writing skills. Bookkeeping and accounting skills may be preferred. Ability to maintain confidentiality in all aspects of the job. Basic operating knowledge of general office equipment and computers required. Operating knowledge of district’s current database system and phone system preferred at hire; required within 2 months after hire.

CERTIFICATES, LICENSES, & REGISTRATIONS: Must have current Notary Public or obtain within 90 days of hire.

SUPERVISION/TECHNICAL RESPONSIBILITY: This job has no supervisory responsibilities.

JUDGMENT AND DECISION MAKING: Work is assigned by building, office, or department administrator. This position requires judgment, organizational skills, office skills, and confidentiality in order to prioritize and accurately complete duties and assignments in a timely and appropriate manner. Work is guided by federal, state, District, and/or school laws, policies, and procedures. Decision making requires collaboration with administrators and/or secretary. Supervisor is involved only in major decisions.

SAFETY TO SELF AND OTHERS: High exposure to self to repetitive motion injuries due to keyboarding. Low exposure to self to bruises and cuts due to typical office accidents.

TERMS OF EMPLOYMENT: Work year and salary to be established by the Board of Education. Benefits and leaves determined per Board policy. Position is considered a classified at-will position.
