SUMMARY:

Under general direction, performs advanced administrative work in support of the Tribal Council Members and Deputy Tribal Historical Preservation Officer (THPO) in the areas of research, communications, public relations, administration; coordinate and work closely with Tribal Council Members and THPO to assure the flow of accurate information in a timely and efficient manner; provides quality review and information organization of the tribal records of the Prairie Band Potawatomi Nation; providing coordination amongst department in the efforts of protection and preservation of our culture and resources with the exterior boundaries of the Prairie Band Potawatomi Nation. Must have a basic understanding of federal and local regulations relating to procedural requirements of the permitting jurisdiction. Works with records associated with both recorded and unrecorded sites that pertain to off reservation cultural sites and traditional culture places. This position must maintain strict confidentiality in all aspects of administrative operations records and actions.

ESSENTIAL DUTIES:

  • Acts a s the second contact for consultation regarding Section 106 of the National Historic Preservation Act, NEPA, SEPA and all other projects requiring cultural input for permitting review of historical and cultural places of importance to the Prairie Band Potawatomi Nation. This includes interacting with team members in order to schedule meetings.
  • Receives incoming project notification, assess and prioritizes project responses, prepares correspondence using the approved response letters.
  • Provides a high level of customer service to the Tribal Council through executing a variety of tasks including, but not limited to; coordinating office activities/schedules, filing, recordkeeping, retrieving/maintaining tribal records, scanning/printing documents, handling email correspondence, answering telephone calls and referring to appropriate department or Tribal Council Member, updating charts in Microsoft Office, creating/updating reports, picking up lunches, ordering special supplies, retrieving and responding to voicemail.
  • Be present in office and available to people.
  • Assists Tribal Council Members and THPO in preparation of all meeting and events.
  • Represents the Nation to the public, businesses, Tribal Council Members and other agencies at the request of Tribal Council Members and THPO.
  • Keeps Tribal Council Members and THPO informed of a variety of events within the Tribal Operation and/or community.
  • Assist the THPO in managing the Native American Grave Protection & Reparation Act (NAGPRA) for the Prairie Band Potawatomi Nation, which includes business management of federal projects, tribal projects, and non-federal projects within the reservation.
  • Assist in logging in Federal project for the THPO on a monthly basis, managing project timelines associated with federal undertaking.
  • Assist in maintain an annual budget for the THPO
  • Required to develop and maintain a daily log of incoming and outgoing mail, scan and file all program documents.
  • Required to develop system for logging and filing confidentiality forms.
  • Assist in scheduling training appropriate to staff and administrative position in all areas in preservation management and/or as required in federal or tribal law.
  • Works cooperatively within the office, Prairie Band Potawatomi Nation, and other agencies; as needed
  • All other duties as assigned

MINIMUM REQUIREMENTS:

  • Associates Degree
  • Two to five years of experience as an Administrative Assistant or similar capacity.
  • Must have a valid Kansas driver's license and insurable with the Nation's insurance.
  • Must have knowledge of Tribal history and culture.
  • Must possess a proven ability to handle confidential information with discretion.
  • Must possess strong written and oral communication skills with an excellent attention to detail.
  • Ability to write reports and business correspondence.
  • Must possess the ability to work under pressure.
  • Must possess the ability to present information and respond to questions from Department Managers, Tribal Council, and the general public.
  • Ability to define problems, collect data, establish facts. And draw valid conclusions.
  • Must possess professional work ethics, manner, and appearance.
  • Intermediate computer skills and Microsoft Suite programs such as word and excel, specifically in word processing and spreadsheets.
  • Must be available to work the assigned schedule of M-F, 8:00A-4:30P and available as needed to work a flexible schedule to meet the demands of the position, which may include nights, weekends, holiday and overtime.
  • A record of satisfactory attendance and performance in all prior and current employment.

PREFERRED REQUIREMENTS:

  • Bachelor's degree (BS/BA) in anthropology/archeology or related field from an accredited four-year college.
  • Two years of experience in cultural resources management and/or training in a related position.
  • Previous experience with data base experience and data entry.

  • Attend out-of-state/out-of-town training periodically to enhance job performance and knowledge.
  • Work is generally performed in an office setting; however, this position is required to visit work sites and may be exposed to inclement weather conditions.
  • While performing the duties of this job, the employee is regularly required to have full range of mobility in upper and lower body; be able to reach overhead; be able to work in various positions, including stooping, standing, bending over, sitting, kneeling and squatting for extended periods of time; be able to lift, pull and push materials and equipment to complete assigned job tasks; and be able to frequently lift 20 pounds of weight throughout the assigned workday
