Job Description

As a Data Coordinator for Outreach Health Services (OHS), you are responsible for pre-employment screening, monitoring and managing caregiver master schedule(s), providing care to the disabled and elderly, track & check client eligibility, and obtain authorizations. You will resolve scheduling issues, become an expert on automated systems for time management, promote patient safety, and provide training support. The Data Coordinator is a leader and mentor, torchbearer for company values, and will represent Outreach Health Services in the community.

Essential Job Functions

  • Assists in the overall flow of paperwork, and provides technical assistance and monitoring to ensure accuracy, completeness, and timeliness of paperwork
  • Keys all referral sources, client, and caregiver information into the computer system, updating information as needed in a timely manner
  • Communicates with the payor source to correct any client registration or authorization problems on their part
  • Ensures all hiring paperwork is completed accurately and timely, tracks new applications, checks caregiver references, creates badges for caregiver staff, prepares and copies orientation packets.
  • Orients caregivers to OHS policies and procedures.
  • Perform Criminal History checks on all caregivers before hiring.
  • Ensures that a potential caregiver is not listed on the Employee Misconduct Registry and Nurse Aide Registry.
  • Receives, documents, and ensures the completion of Hepatitis B series.
  • Generates caregiver timesheets and ensures transmission to payroll to generate paychecks, and reconciles billing with payroll and TMHP
  • Monitors proper usage of EVV Reason codes, enters client visits, and runs checks and balances prior to payroll
  • Computes, records, generates, and submits initial billing and payroll for caregiver and other services under the DADS or HMO programs
  • Re-submits outstanding billings on a timely basis attempting to collect all accounts receivable within 90 days
  • Conducts all necessary research on outstanding billings to determine the reason for non-payment
  • Reconciles outstanding A/R and A/P reports generated from the Field Support Office
  • Communicates with DADS staff, third-party resources, therapists, medical supply companies, and others as needed to facilitate client services
  • Generates reports, data, and information for use by Administrator
  • Assists in direction and coordination of quality control in service delivery
  • Accepts and coordinates all other program referrals
  • Meets on a weekly basis with Supervisors to review staffing needs.
  • Serves as a backup to assist non-clinical staff, may be responsible for supervising light duty in house caregivers
  • Any other duties as deemed necessary by the Administrator or direct Supervisor/Manager.

Required Skills, Education, Certification, License, and/or Experience

  • Must have a High School Diploma and two years of relevant work experience
  • Must have knowledge and comply with applicable healthcare laws and statues (local, state, and or federal)
  • Must be proficient with preparing and the submission of form H2067
  • Must have experience with tracking and monitoring Electronic Visit Verification (EVV)
  • Must have knowledge in MS Office Suite and Excel and be comfortable with technology changes
  • Strong skills in problem solving and interpersonal communication
  • Able to read, write, and comprehend English
  • Must have good interpersonal communication, time management, organizational and problem-solving skills.

Preferred Skills, Education, Certification, License, and/or Experience

  • Bilingual
  • Six (6) months of data entry experience in an office setting
  • Experience in running and analyzing reports

Working Conditions and Physical Requirements

Must be able to work in a work environment that involves intermittent body movements such as walking, standing, bending, lifting, stooping, kneeling, reaching, sitting and viewing monitor(s) for extended periods. Must have dexterity and strength in hands/limbs for typing or a reasonable accommodation to perform required tasks. The Nature of duties presents moderate exposure to infectious and chemical hazards or job-related accidental injury.
