Position: We are seeking a talented administrative assistant to support the firm’s growing Corporate Group. The candidate must be able to multi-task, possess strong written and verbal communications skills, and must enjoy working in fast-paced environment. The candidate must be proficient in Microsoft Office (including Microsoft Excel). The ideal candidate would possess 3 + years’ experience lending support to responsibilities which will include the following:

  • Work closely supporting the Corporate Group’s Partner to maintain individual and departmental appointment schedule, files, schedule meetings, messages, emails, court appearances, conferences, teleconferences, and travel
  • Open, sort, and distribute incoming correspondence, including faxes and email
  • Liaise with the firm’s filing partners to facilitate various department of state filings for clients
  • Maintain and track investor documentation, and assist with investor outreach, on behalf of clients
  • Create organizational charts and spreadsheets for the benefit of clients
  • Assist with client intake procedures and in drafting and tracking conflict waivers
  • Keep client-matters organized by establishing and/or organizing paper and electronic filing systems; monitoring calendars; meeting deadlines; and documenting actions
  • Provide support to the broader Corporate Group, including its attorneys, law clerks by attending all departmental meetings, preparing agendas, and memorializing task/deliverable assignments.
  • Develop relationships with firm’s clients and take an interest in the business
  • Draft memos, presentations, and emails (internal and client facing) for the Group’s Partner.

· Liaise with Human Resources for in-office onboarding needs for new hires

  • Assist with training by developing curriculum, presentations, scheduling and ordering supplies
  • Contribute to ongoing firmwide projects including designing, implementing, and enforcing policies, procedures, and systems
  • Support the firm’s other administrative staff as necessary
  • Ability to handle sensitive information with discretion and empathy
  • Other responsibilities, as required

The Executive Assistant is expected to reside within commuting distance of Manhattan, and work from the firm’s office (located at 40 Fulton Street, New York, NY 10038) several days each week. The Executive Assistant shall be permitted to work remotely for portions of each week subject to coordination with the Corporate Group’s Partner.

Work Environment and Physical Requirements

· Ability to work full-time (approximately 40 hours per week) in person and on site located in lower Manhattan

· Ability to walk, sit and stand as needed

· Ability to lift up to 40 pounds as needed
