Job Summary:

Trane has a new exciting opportunity to join our organization as a Project Administrator in our Wilmington, MA Contracting group. Under direct supervision, this position is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with customers, Project Managers and other assigned project staff to ensure the timely completion of each project.


This position is considered hybrid meaning that it can work from home 1-2 days per week as agreed upon with Manager.


Responsibilities

  • Oversee large projects to ensure contract compliance and successful completion.
  • Responsible for general administrative functions to support the fulfillment process.
  • Enter purchase orders and receipt purchase orders; follow-up with vendors to obtain missing purchase order #s.
  • Administers subcontractor documentation, including master agreement, work orders and other documentation as needed.
  • Initiate invoicing process and coordinate format, layout, attachments, and mailing with Shared Financial Services.
  • Coordinates with various staff for accurate and timely recording of project costs, including time sheets, daily reports, etc.
  • Reviews billing backlog and coordinates/communicates with Project Managers, BAS and HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles.
  • Responsible for generating, interpret, and print various assigned reports.

Qualifications:

  • High School diploma or GED and up to two (2) years of related experience and/ or training; or equivalent combination of education and experience.
  • Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
  • Proven experience prioritizing tasks in order to meet tight deadlines within a high-paced environment.
  • Previous experience with financial systems and basic accounting an asset.
  • Construction law and regulation knowledge is an asset.
  • Familiarity with the operation of HVAC Systems preferred not required.
  • Flexibility to work overtime/ weekends, as required.
