Today the ministry is continued by Stephen Strang, founder of Charisma Media and chairman of the CLM board of directors. Through the outreach of Charisma Media’s resources and readers it helps organizations raise needed funds for specific projects and causes.

Job Description

***This is a part time, in-house position in our Lake Mary, Florida corporate office***

POSITION SUMMARY

The CLM Administrative Assistant will provide general administrative and bookkeeping support, ensuring that all donations are properly allocated and that all financial information is accurately reported. This person will also be responsible for maintaining up to date information for the various funds CLM supports, and providing current and potential donors with updates and opportunities to give by maintaining a strong social media presence and creating and sending a monthly newsletter to help raise funds for ministries designated by the board, as well as legal documentation for the board.

RESPONSIBILITIES

Daily, Weekly & Monthly:

  • Receive and respond to written correspondence and inquiries via mail and e-mail.
  • Receive and respond to incoming telephone calls and inquiries.
  • Receive and sort all CLM mail, using ministry updates as potential blog and/or newsletter updates.
  • Record all incoming donations received (checks and PayPal) in donor software, and QuickBooks.
  • Entering of new donors into donor software and maintaining donor information current
  • Prepare weekly bank deposits for Wells Fargo and logging in QuickBooks
  • Responsible for charging the appropriate accounts for all CLM credit card purchases in QuickBooks.
  • Weekly and monthly reconciliation of Wells Fargo bank account.
  • Handling CLM bank statements, bills, payroll, supplies, office rental, etc.
  • Generate monthly reports in QuickBooks and donor software as needed
  • Print monthly donor disbursement checks to ministries, obtain proper signatures and mail out.
  • Print, copy, and mail monthly donation receipts to all donors.
  • Write, edit, and mail the monthly donor newsletter
  • Maintain CLM social media channels updated with current ministry information and creating engagement from current and potential donors.

Annual Duties:

  • Prepare and mail out annual giving statements to donors
  • Help plan and facilitate two board meetings each year (along with the CLM secretary) by preparing the agenda, correspondence with board members, complying with requirements in bylaws, recording and disbursing minutes to board members.
  • Gather information needed by CPA firm for annual tax return
  • Work with CPA to prepare and submit annual ECFA application by producing all necessary documentation concerning CLM’s board and finances, and maintaining our good standing with ECFA.
  • Meet with President, Stephen Strang, as necessary, giving updates, etc.

OTHER DUTIES

  • Coordinate with Lee University at least annually regarding facilitation of the Robert Walker Scholarship Liaison for annual compilation from start to finish handling all financial documents recorded, and answering all CPA questions with the utmost integrity.
  • Implement new financial handling processes recommended by CPA to keep CLM records in best standing.

In order to have separation of duties on deposits, putting the info in the computer, balancing statements, etc. someone else handles the following duties.

  • Open mail and make copies of incoming checks.
  • Enter deposit details in the Daily Deposit digital folder.
  • Put all checks and copies in a folder for the CLM administrative assistant
  • Take final deposit created by CLM administrative assistant to bank, and give
  • bookkeeper all receipts for CLM files.

Hours and Schedule:

  • Schedule can be flexible.
  • Up to 20 hours per week.


Qualifications

SKILLS REQUIRED

Knowledge of Microsoft Office (Word, Excel), QuickBooks (equivalent accounting software), Type 40 wpm, and 10 Key. Basic Accounting knowledge (AR experience a must for the position). Basic Internet and social media skills.
